Paralegal/Legal Assistant The candidate will provide legal and administrative support to two attorneys, including maintaining their calendars. Work closely with supervising attorneys to draft, finalize, and submit a variety of documents including immigration and visa applications and accompanying materials, in addition to preparing general legal correspondence. Analyze, review, and organize materials and data from clients. Gather and prepare supporting documents, evidence, exhibits, and affidavits. Complete USCIS forms, and in certain cases, draft supporting legal letters for inclusion in visa applications and immigrant petitions. Thoroughly review, proofread and edit all documents prior to submission. Assemble applications and petitions for USCIS, CBP, and the Department of State. Submit applications and petitions according to agency protocol and in compliance with procedural requirements and filing deadlines. Assist as needed in the preparation of responses to agency requests for evidence. Regularly communicate with clients (in-person, via email, and over the phone) to notify them of case progress, remaining steps in the process, processing timeframes, and consular appointment issues; as well as to request materials, and answer client case status inquiries. Organize and maintain client records in paper and electronic filing systems; including entering client contact information and case data, associating client emails, saving file copies of all petitions and related documents, as well as inputting filing status and correspondence receipt information into the official records management systems (currently Clio and Docketwise) according to established protocols. Answer phones as needed; screen potential clients and refer cases out where appropriate. Schedule new clients, conduct client intake, prepare fee agreements and create client files in coordination with other office staff. Join attorneys during client consultations if requested, taking notes and following up as relevant. An associate's degree or higher is required. Should have 2+ years of experience in immigration law, including preparing petitions, forms, cover letters, and support letters, and gathering and organization of supporting documents for employment-based immigration filings. Strong substantive understanding of legal requirements and supporting documentation for business immigration filings. Exceptional attention to detail is needed. Proficiency with Microsoft Office products, Adobe, and immigration case management systems (Clio, Docketwise, or similar) is needed. Prior experience handling confidential and sensitive materials with discretion is required. Should have the ability to adhere to deadlines. Should have the ability to multi-task and work with multiple team members in a fast-paced environment.
