Legal Assistant/Paralegal Duties: Answering and directing telephone calls; greeting visitors; processing mail. Serving as point-person for maintaining the firm-wide calendar and facilitate the meeting of deadlines; providing timely reminders of deadlines, appointments and meetings. Handling document management for the firm by: systematically and accurately filing all documents, records, and correspondence within firm's IT system; maintaining paper and electronic filing systems; setting up new files; pulling up records as needed; preserving and archiving files and records. Corresponding with clients and case participants. Performing new client intake and case set-up tasks. Supporting attorneys in their day-to-day work needs and special projects and assisting with calendaring legal deadlines and performing legal research. Preparing and proofreading many types of correspondence, documents and legal filings. Providing assistance with court and administrative filings; accessing, filing, and researching in various electronic case management and e-filing systems. Performing litigation-related tasks as assigned, including preparation of pleadings, preparation of timetables and calendar and maintenance of pleading indexes. Organizing, preparing (Bates label, redact, etc.) and reproducing large volumes of documents for discovery and trial exhibits, etc.. Assisting Office Manager with billing and accounting functions and other office administration projects. Preparing information for and attending weekly firm meetings. Assisting with issues related to the firm's IT system. Performing general office duties: Running errands, handling various copy and scanning jobs, ordering supplies, handling light cleaning and other miscellaneous office tasks that may arise. Qualifications: High school diploma or GED required; college degree preferred. 1+ year of experience as a legal administrative assistant, paralegal or legal secretary preferred. Excellent verbal and written communication skills. High proficiency in the use Microsoft Office 365 (Word, Excel, Outlook, PowerPoint) and Adobe specifically along with the ability to quickly learn and work effectively with technology generally, especially in the legal environment. Ability to organize, prioritize and multi-task while working effectively under pressure to meet deadlines. Ability to establish good rapport with attorneys, clients, witnesses and colleagues. Ability to problem solve and work independently. Excellent writing ability and the ability to proofread and make corrections as needed to a variety of documents with high attention to detail. Skill in typing and transcribing at a rate of 70+ wpm with a high rate of accuracy. Exceptionally strong work ethic and a drive to deliver high-quality client products in a timely matter, both individually and as a team member. Ability to file in both federal and state court systems preferred. Knowledge of both federal and state court rules preferred. Schedule: 32 - 40 hours a week Duration: 12 weeks
