Legal Secretary Duties: Initial review, index, and analysis of depositions. Initial review, index, and analysis of medical records. Subpoenaing of records based upon plaintiff s initial responses. Tentative ruling; Monitoring, calling opposing counsel and court, receiving calls from opposing counsel. Calls to and information exchange with witnesses. Preparing responses to discovery. Preparing verifications. Assemble medical records and letter to doctor or expert. Case management statements. Discovery (preparation of requests, index, analysis, responses...). Law and motion. Electronic Filling in Federal Courts. Provide general administrative and clerical tasks. Assisting with projects as needed. Assisting with client inquiries, seeking out answers and resolving issues. Meeting clients, vendors and other visitors to the firm; both in person and over the phone. Organize and maintain files and other work necessary to ensure the office runs efficiently. Assisting with filing, scanning, archiving and file destruction. Prepare and submit new matter reports and expense reports. Billing of Time. Prepare other financial summaries as requested. Managing, receiving mail and deliveries. Scheduling and calendaring. Managing attorney calendar. Qualifications: Bachelor of Arts degree or equivalent. 2-5 years experience in a legal and client service environment. Understanding client service practices especially as they pertain to a legal service organization. Understanding of the essentials for providing customer service that results in sustainable customer satisfaction. Thorough understanding of California Discovery Statutes, time limits on service of various discovery items and responses. Strong organization skills. Strong writing and communication skills. Team player with a focus on helping others to succeed. Strong relationship-building and customer service skills to meet the needs of the diverse population being served. A team player who takes a big picture view and contributes to win: win situations and outcomes. Anticipates needs well, takes initiative and responds proactively. Works well in a multi-task environment with minimal supervision. Proficient computing skills especially in the use of MS Office software (Word, Excel, PowerPoint, Outlook), Acrobat. Proficient use of calendar and database software preferred (Experience with TimeMatters, TimeSlips, HotDocs a plus).
