Intellectual Property Attorney Assistant The candidate will work directly with attorneys and paralegals in the intellectual property group and will be responsible for performing a number of legal assistant, billing and other administrative duties. This position requires strong attention to detail and impeccable professionalism. Provide direct support to intellectual property attorneys as needed. Enter attorney time and assemble client bills. Assist with delivering invoices to clients, arranging payment of invoices and, as needed, following up with clients on outstanding invoices. Manage scheduling of attorney meetings, attorney calendars, and travel arrangements. Manage reimbursement of attorney out of pocket expenses. Assist with drafting of certain administrative documents, such as engagement letters for new clients and audit response letters. Assist with general office errands, support (pick up lunches, team meetings) and assistance with various administrative tasks and projects as needed. Provide back-up assistance to other administrative team members as needed. The candidate should have High School Diploma; college education preferred. 3+ years of experience supporting intellectual property attorneys preferred. Demonstrates professional manner, as well as high level of interpersonal skills to handle time-sensitive, confidential and stressful situations in a fast-paced environment. Continually demonstrate poise, tact positive attitude, and diplomacy. Excellent customer service skills, written and verbal communications, planning and organizational skills. Makes effective decisions with minimal supervision and information. Expert problem-solver, solution and team-oriented and works collaboratively to achieve team goals. Takes initiative and pursue opportunities for improving efficiency. Quick learner who can develop skills rapidly. Strong multi-tasking skills. Complete several concurrent tasks. Manages time effectively, exercises good judgment in setting priorities to complete tasks to meet deadlines with strong attention to detail and ability to balance and maintain workload. Ability to anticipate the needs of the executives and team members. Ability to balance and maintain workload. Advanced skills in Microsoft Word, Excel, and Outlook required.
