Legal Secretary or Legal Secretary/Paralegal The candidate performs Notary duties in appropriate circumstances. Manages office resources and decorum. Types general correspondence, memoranda and complex legal documents. Independently maintains appointment calendar(s) and case management deadlines for attorneys. Mail or Electronic court filings, and timely service of documents by mail with Proof of Service. Proofreads documents and checks for appropriate formatting, spelling, and grammar. Ensures all filings contain required documents and exhibits, ensures that letters contain all enclosures. Maintains organized files in an efficient matter. Sorts, opens and distributes incoming mail, prepares and transmits outgoing mail, scans documents to pdf; maintains incoming correspondence in case file. Inputs, retrieves and maintains case-related information. Greets visitors and communicates with clients and third parties. Must be a California Notary Public or be willing to become one. 2+ years in a legal secretarial position required. Excellent written and verbal communication skills with attention to detail required. Consistent work ethic, job-focused at work, and efficient job performance required. The ability to independently self-manage time and job duties to minimize workflow bottlenecks required. Proficiency in Corel Word Perfect and Quattro Pro, or proficiency in Microsoft Word and Excel required. Ability to independently solve problems, and learn new programs quickly required.
