Coordinate with title companies in deal management and in closing real property transactions. Assist with formation and registrations of entities, acquisition of federal employment identification numbers, and related tasks. Prepare binders of completed transactions. Conduct statutory, regulatory or factual research with respect to client matters. Such research might include investigation of federal or state laws and regulations, relevant markets, corporate participants and industry standards and practices. Participate in due diligence, privilege and other reviews of client records and files. Assist with organization of client materials and attorney work product, including use of databases, imaging systems and other computer-based technology. Maintain files and other case or project records; circulate materials to project team, as needed. Maintain chronological records of project activity. Arrange filings, mailings and service list deliveries with appropriate courts, government agencies and other parties. Under the supervision of an attorney, draft, edit, cite-check, conform and otherwise assist in the preparation of legal documents. Obtain services from outside contractors, including court reporters, research services, exhibit preparation services, filing services and printers. Process billing and disbursement paperwork in connection with those services. Act as liaison for the project team with support departments and other offices of the firm, anticipating and assuming responsibility for special staffing needs, such as overtime, clerical and/or notary assistance. Coordinate work of other paralegals and/or project assistants or clerical team members. Should have BA/BS degree. Legal Assistant/Paralegal certification is preferred. Receives, screens and transmits telephone calls to lawyers and takes messages as necessary, with recognition of and attention to the particular needs of clients. Schedules conference calls for lawyers. Creates, maintains and updates all client litigation files on a daily basis in accordance with standards set by the Records Management Center using the electronic Records Management database and maintains other files as needed. Facilitates work with the Accounting Department to coordinate client bills, generate monthly internal utilization reports, provide monthly and/or quarterly estimate reporting data, analyze billing data, and respond to miscellaneous client inquiries/requests. Processes new business forms, new client/matter reports and conflict of interest checks. Inputs daily diaries for lawyers in electronic Time Billing System, and proofreads and edits time diaries for accuracy. Proofreads and revise all documents, including engagement letters, PowerPoint presentations, memoranda, audit letters, client deliverables, and other correspondence, etc., for accuracy of copy, grammar, punctuation and syntax, and drafts correspondence. Coordinates work performed by Support Services for prompt production and delivery of documents. Prepares documents for transmittal via the Firm's electronic fax system and e-mail transfer. Processes incoming and outgoing mail and distributes promptly upon receipt. Retrieves cases and other related documentation from the Firms resources. Types and prepares legal papers and correspondence such as briefs, letters, memoranda, tables, charts/spreadsheets, complaints, and motions. Also generates Table of Contents, Table of Authorities and redline documents. Performs other job-related duties such as compiling notebooks and exhibits, and preparing documents in connection with bar association activities. Also performs other administrative tasks as needed. Must have 3+ years of related work experience and/or training; or equivalent combination of education and experience. Should preferably have Degree from an accredited college or university.
