Legal Secretary Duties: Assist and relieve lawyers and other legal personnel of administrative and support by performing the following duties. Prepare legal papers such as answers, discovery and all forms of motions, and correspondence of a legal nature. Working knowledge of e-filing and eDiscovery. Assist in issuing preparation, issuance and tracking subpoenas. Perform other duties such as scheduling appointments, calendaring deadlines, providing information to callers, composing routine correspondence and reading and routing incoming mail. Maintain computerized appointment calendar for attorneys and confirm scheduling of appointments, hearings, mediations as required. Arrange depositions, travel, court hearings and other meetings or conferences. Conduct basic factual/background research. Communicate case information to clients in person, by telephone and through electronic mail. Coordinate arrangements for services by legal service providers such as copy services, messengers, court reporters and audio/visual services. Operate standard office equipment to include photocopy machines, fax machines, printers, transcribers, etc. Coordinate with attorney(s) and paralegal methods for plan document management, ediscovery and litigation support needs for cases. Working knowledge of software, Lexis research tool, Microsoft Office Suite; Attend legal secretary coordination meetings, back-up buddy meetings and staff meetings as requested. Supervise performance of legal service vendors, service clerks and temporary word processing personnel as required. Responsibilities include directing work, addressing complaints and resolving problems. QUALIFICATIONS: Associates degree (A.A.) or equivalent from two-year College or technical school; or 3-5 years related experience and/or training; or equivalent combination of education and experience. Knowledge of grammatical rules for the English language and strong spelling skills. Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Assembles and files finished documents in accordance with court rules, including e-filing. Create and edit documents from written copy, transcribed tape(s) and/or pre-typed data using MS Word, Interwoven and/or other current software. Perform advanced functions of word processing including redlining, black-lining, merge, columns, footnoting, creating tables of contents, tables, etc. Produces documents utilizing litigation terminology, formatting and appropriately applying rules of court Upload, distribute and manage documents to an online file-share environment. Send and retrieve e-mail messages and/or e-mail attachments using MS Outlook Accurately enters attorney time on a timely basis. Open new client matters and assist with crafting client engagement letters and initiating conflicts reports. Arrange meeting requests, including: scheduling, reserving space, arranging video and teleconferencing support, equipment needs, and food set-up Prepare travel expense reports, check requests and other finance forms Interacts with all in-house personnel and external personnel in a professional, effective and friendly manner. Maintains an updated desk profile including key information for each assigned principal to be used by a floating secretary or temporary in the secretary s absence. Follows firm established policies and procedures Attends all mandatory secretarial meetings/training workshops; routinely attends general secretary meetings. Other legal and administrative miscellaneous related duties as assigned. Requirements: HS Diploma or equivalent; some college preferred. Accurate typing skills of 65+ wpm. 5+ years current, relevant experience in litigation with a strong emphasis on trial work. Proficient in handling matters in multiple jurisdictions in the California Superior Court system Advanced computer skills including .pdf technology, MS PowerPoint, Outlook calendaring and email, Excel, Word and Outlook.
