Conducts internet research as directed by attorneys. Interacts on a daily basis with departments within the Firm to facilitate highest possible legal support to assignments and clients, including Accounting (check requests); General Services (mail, FedEx, UPS, messengers); Conference Center/Catering (scheduling/arranging meetings and requested accommodations); Calendar Court Services; Reprographics Department; Digital Services, etc. Uses word processing and document management software (Microsoft Office 2010, including PowerPoint & Excel, Workshare Compare, Adobe, DMS, etc.) to prepare and revise, format and finalize a wide variety of documents, including correspondence, memoranda, and legal materials. In conjunction with the preparation of such documents, the Legal Secretary is responsible for proofreading, correctly formatting and questioning any inconsistencies in all materials. Transcribes dictation, minutes of meetings or taped records of conferences and meetings. Establishes and maintains paper and electronic files in compliance with current firm policies utilizing the Firms LegalKEY system and Document Management System. Provides assistance to other Legal Secretaries within assigned teams whenever necessary to meet Firm and client needs; organizes and prioritizes workload so as to most efficiently enable and facilitate team effort to accomplish Firm and client goals. Fosters professional, cooperative and supportive relationships with peers, superiors and clients. Anticipates and identifies clients /colleagues current and future needs. Shares information and offers ideas and solutions in a team environment. Exhibits professionalism by recognizing and adhering to all Firm policies, including attendance guidelines, dress code, security measures, and confidentiality requirements. Maintains positive, professional, courteous and flexible demeanor when dealing with clients and colleagues. Performs complex legal secretarial activities which may be highly confidential and sensitive, and require discretion and diplomacy. Reports directly to the Secertarials Services Manager. On a day-to-day basis, works primarily under the direction of an assigned group of Attorneys and/or Paralegals. In addition, works in a team situation with Legal Secretaries to most effectively and efficiently meet Firm/client needs. The candidate must have 2+ years of legal secretarial experience in the corporate area. Investement Funds preferred. Advanced proficiency in MS Word and formatting documents with a minimum typing speed of 55+ words per minute required. Adobe, PowerPoint and Excel experience are a plus. High School Diploma required. Experience in defense civil litigation, construction defect litigation (preferred) and management of high-volume of cases. Experience reviewing medical and technical records preferred. Experience with insurance defense and employment defense matters. Ability to balance multiple priorities and meet deadlines. Ability to handle pressure, interruptions, and multiple projects with frequently changing priorities and deadlines. Ability to perform legal research, in-depth knowledge of legal terminology and principles. Ability to analyze legal documents and ensure accuracy. Exceptional organization, writing and communication skills. Interact professionally with clients, attorneys, paralegals, secretaries, all other staff, and other representatives outside of the firm. Legal Secretary (Litigation) DUTIES: Type and edit legal and other documents (including correspondence, memoranda, bills, timesheets and project work) from handwritten, typed materials and transcription tapes. REQUIREMENTS: High School Diploma or equivalent. 10+ years of litigation secretarial experience supporting partner level attorneys. Specialized secretarial degree, associate and/or bachelor degree desirable. Ability to read, write and speak English. Proficiency in eFiling in State and Federal Courts and all court procedures Ability to produce TOCs and TOAs manually & accurately. Ability to type at least 70 words per minute with accuracy. Thorough knowledge of MS Office applications including Word 10 and Outlook, as well as Adobe Professional. Thorough knowledge of the proper preparation of time records, expense reports, client bills and conflict-checking forms (if applicable to position). Excellent written and oral communication skills, including grammar, spelling and punctuation. Proficiency with advanced telephone functions, including conference calling and voicemail. Excellent telephone manner. Familiarity with legal filing and record-keeping practices. Strong organizational skills. Ability to perform clerical tasks with a high degree of accuracy. Proficiency on office equipment used on a regular basis including computers, printers, copy machines, facsimile machines, telephones and transcription machines. Ability to work independently and as a member of a team, take initiative, set priorities and see projects through completion. Ability to work effectively in a fast-paced environment, meet deadlines, handle multiple tasks, and respond to changing priorities.
