Legal Secretary Duties: Preparing and editing Firm/Client letters, memoranda and standard Trust and Estate documents. Utilizing direct time and billing systems to submit attorney/paralegal time to Accounting and preparing client invoices. Screening incoming telephone calls, recording messages or placing appropriate information into the voicemail system. Forwarding outgoing documents on a timely basis. Coordinating travel arrangements, scheduling of conference rooms, and catering for meetings. Receiving visitors and maintaining good public relations with clients and retaining confidentiality of attorney-client relationship. Maintaining open communication with attorney and/or paralegal assigned to and other team members regarding the status and quality of all work in progress. Arranging for assistance from administrative staff departments (document processing, photocopy, facsimile, mailroom personnel and accounting) as necessary to complete work assigned. Acting as backup to other module team members to support additional attorneys or paralegals when necessary. Maintaining attorney CLE compliance records in conjuction with CLE coordinator. Processing expenses for attorneys/paralegals, utilizing Firm standard software. Acting as liaison for new attorneys in the onboarding process by conducting orientation on Firm/departmental procedures. Performing other duties as assigned at the request of the Secretarial Services Manager, attorneys and/or paralegals. The candidate will possess exceptional client service skills, the ability to multi-task and work independently in a fast-paced environment. Experience with Microsoft Office 2013 and 5+ years Trust and Estates background preferred. Prior legal secretarial experience, excellent knowledge of Firm policies, secretarial procedures and word processing skills (@ minimum of 75 wpm). Technical abilities including Word, time and billing and document management systems within network environment required. Additional technical skills may be required based upon attorney/paralegal and/or practice group needs. Excellent communication and interpersonal skills required. Individual must be dependable, responsible and possess the ability to work independently, and remain diplomatic when dealing with all Firm personnel. The ability to perform repetitive motions (typing and filing), as well as keying in large amounts of data into the computer for extended periods of time is essential. Corporate Legal Secretary Responsibilities: Operates a computer, typewriter, and transcribes digital dictation. Requests conflict of interest reports with File Opening/Conflicts, opens new clients and/or matters and maintains all client and general files. Conducts periodic review for possible storage of older files; prepares files to be closed. Receives clients and visitors; maintains good public relations with clients; and observes confidentiality of attorney-client relationship. Schedules appointments for timekeepers. Handles all expense reports through Chrome River. Works closely with administrative support staff (word processing, receptionists, business office, etc.); proofs documents returned from word processing; ensures that attorney timesheets are entered and released on a timely manner. Performs overload typing, filing, photocopying or other secretarial duties as time permits and as requested by other attorneys. Also, assists other secretaries with their workload as needed. Creating, editing and processing client bills in accordance with Firm and client requirements. Coordinating travel arrangements. Updating attorneys concerning mail and phone messages while traveling. Researching and obtaining a wide variety of information or documents requested by attorneys and/or paralegals. E-files documents in federal and state courts. Requirements: An Associate s degree or Bachelor's degree is preferred. 3+ years of previous corporate legal secretary experience required and 5 years experience preferred. Interpersonal skills necessary in order to communicate by phone and provide information with ordinary courtesy and tact. Must have skill with Microsoft Office: Outlook, Word, Excel in a legal environment. Must have experience working with corporate legal documents. Must have ability to proof and perform minor editing (e.g., punctuation, grammar, spelling) of routine law office correspondence and legal case matters. Perform non-complex arithmetic calculations when verifying calculations on forms documents and check requests; maintain records and filing systems at a level normally acquired through completion of high school or equivalent. Work occasionally requires a high level of mental effort and strain while producing a high volume of information and performing other essential duties.3-5 years on the job experience necessary in order to gain an understanding of law office policies and procedures and produce accurate legal documents with minimal supervision. Ability to transcribe legal documents, correspondence and reports from rough draft, dictation or transcription at 70 wpm. Ability to organize and prioritize numerous tasks and complete them under time constraints. Ability to proofread for grammatical, typographical or spelling errors of typed routine law office correspondence and legal case matters. Must possess a high level of professionalism and interpersonal skills so as to be able to work well with employees at all levels within the organization and maintain all information in the strictest of confidence. Required to use tact and diplomacy when dealing with others. Must have ability to read, write and communicate fluent English; ability to compose documents in the appropriate business style using correct grammar and spelling; ability to communicate clearly using proper grammar and diction over the telephone. Must possess attention to detail, ability to balance multiple projects and have strong time management skills. Must have ability to reason and apply common-sense understanding to situations encountered. Ability to process routine daily functions while being able to resolve sensitive issues and complex assignments utilizing above average critical thinking skills. Ability to work overtime as needed.
