Legal Secretary Duties: Inputs, revises and finalizes correspondence, audit letters, memoranda and other legal documents. Drafts routine correspondence, memoranda and other documents. Proofreads documents and checks for appropriate formatting, spelling and grammar. Verifies all attachments, exhibits and enclosures are included with letters/memos. Maintains good public relations with clients. Receives, reviews and prints electronic faxes. Prepares documents and packages for mail, messenger and overnight delivery. Completes client/matter forms. Requests conflicts of interest checks. Opens new files. Maintains all client and general files. Conducts periodic review for possible storage of old files and prepares files to be closed. Prepares expense reports and processes vendor invoices in Chrome River. Coordinates and follows through on requests and projects with other support departments (e.g., word processing, receptionists, file/document clerks, office services). Provides overflow assistance and secretarial support for Secretarial Team Members attorneys and paralegals as needed. Screens telephone calls, listens to voicemail and recorded messages. Schedules appointments and makes arrangements for meetings, conferences and travel. Maintains calendar, client contact information and deadline reminder systems. Receives clients and visitors. Reviews and prints e-mail messages as requested by attorney. Works with billing coordinator for client billing. Qualifications: 5-7 years of law firm or professional services secretarial experience required. Typing speed/accuracy: 70 wpm with accuracy. Proficiency in Microsoft Programs (Word, Outlook, Excel). Organize and maintain case files, retrieve case files, and prepare files for closing in accordance with Records Department procedures. Coordinate day-to-day workflow of attorneys matters and serve as the primary point of contact for attorneys. Communicate with clients, vendors, courts, agencies and firm personnel in a professional manner via telephone, email and in person. Participate as part of a team of practice assistants providing coverage and/or backup coverage for multiple attorneys. Focus on deadlines and prioritize activities and demonstrate resourcefulness by effectively utilizing firm resources and personnel. Adapt quickly to changing environment/demands, think one step ahead and suggest next steps on assignments and ways to improve the delivery of client service without being prompted. The candidate must have minimum three to five(3-5) years supporting litigation attorneys in internal and external leadership roles at a large law firm. Must be proficient with MS Office 2013.
