Coordinates lengthy and complex document preparation with the Resource Center as needed. Prepares documents for e-filing as required. Reviews and routes incoming mail and fax communications. Prepares and processes outgoing mail and faxes, arranging for specialized mail or messenger services as required. Ensures that all attachments, exhibits, and enclosures are included. Coordinates activities with the Office Services department as needed. Maintains paper and electronic files in compliance with current policies. Works with Records Department to create and maintain client files and indexes. Marks case or matter related documents as needed with filing instructions to ensure proper filing. Performs routine filing and retrieves files as needed. Maintains chronological files and administrative files for assigned attorneys. Assists in coordinating timekeeper calendars, expense reports, travel, and meeting arrangements. Prepares and processes new matter forms. Opens new files, requests conflict checks. Receives and screens phone calls and takes messages as required. Receives and directs clients and visitors. Coordinates travel arrangements, prepares itineraries, and prepares travel expense reports. Schedules meetings and arranges for conference rooms and meals. Communicates effectively with clients and with others in the firm. Is proactive in anticipating the business needs of the assigned attorneys; plans ahead and meets deadlines. Proactively demonstrates effective teamwork and provides assistance to other LAAs as time permits. Works cooperatively with other departments and individuals in the firm. Operates office equipment including PCs, printers, phones, copiers, facsimiles and typewriters. Copes successfully with demands from timekeepers, remaining calm under pressure. Conducts all business in a confidential manner. REQUIREMENTS: High School Diploma or GED required; 2-year degree preferred. 3-5 years relevant legal assistance experience required. Typing speed of 60+ wpm. Proficiency in Microsoft Office Suite including Outlook, Word, PowerPoint and Excel. Previous transcription experience. Reviews and confirms all client bills and other invoices and forwards for payment on a regular and consistent basis in accordance with client guidelines. Closes and prepares files for storage. Prepares files or assists paralegals in preparing files for upcoming hearings and depositions. Answers and screens calls for attorneys, communicating with professionalism, respectfulness and tact. Knowledge of the format of various legal documents including, Requests for Reproduction of Documents, Responses to Interrogatories, Notice of Represent, Rule 200, Certificates of Service, Motions and other pleadings. Broad knowledge of terminology (legal, medical, other) as it relates to the particular practice area(s). Demonstrate spelling, diction, and grammatical skills equal to or above a level normally acquired through successful completion of a high school or general education degree. Demonstrate organizational, prioritization, proofreading, and attention to detail skills to allow for timely, effective, and accurate performance of job duties with little or no outside assistance. Ability to demonstrate impeccable integrity in confidential matters. Interpersonal skills necessary in order to communicate with a diverse group of attorneys, staff, and clients and to provide or obtain information with ordinary courtesy, diplomacy and tact. Accurate typing ability of 70 wpm and comprehensive computer and office equipment experience. Work occasionally requires more than 40 hours per week to perform the essential duties of the position.
