Recording, billing, paying, and entering the firm's and the clients' expenses and costs. Maintaining organization of original documents for long term storage as well as paper files for short term use. Scanning documents to minimize paper storage. Should preferably have College education. Experience in book keeping, especially QuickBooks is preferred. Knowledge of banking, loans secured by real and/or personal property, and a working knowledge of commercial contracts is a plus. High competence with Microsoft Word, Outlook, and Excel is required. Familiar with the Nevada Rules of Civil Procedure and local rules is needed. Experience/knowledge is preferred: E-filing in Nevada, Bankruptcy, and US District Courts; Bankruptcy experience, particularly relating to creditors work; Collections (garnishments, writs, executions upon personal property). Legal Secretary, Contract Duties: Assist attorneys with nursing home and insurance defense litigation matters. This is a hands-on position that involves working collaboratively with clients and employees of the firm. Under attorney direction drafts and prepares correspondence and other written documents as required including responses, reports, filings, pleadings, answers, motions, interrogatories, contracts, opinions, position papers, letters, etc., and other documents as necessary. Organizes and analyzes documentary evidence including contracts, medical records, reports, depositions, discovery, investigative and other documents and summaries. Interpretation and preparation of chronologies and summaries as requested. Prepares and handles tracking and disposition of subpoenas or other request for information. Assures organization of files including maintenance and management. Monitors files and escalates issues requiring attorney involvement. Performs timely handling of highly sensitive issues and materials related to case. Conducts legal research using online media for experts, background searches, case investigation. Maintains calendar for trial and discovery deadlines. Obtains trial settings, coordinates and assist in preparation. Performs other duties as assigned. REQUIREMENTS: High School Diploma or its equivalent required. 3+ years of prior legal secretary experience supporting litigators in civil defense in a high-volume, fast-paced law firm environment. Strong knowledge in area of specialization (insurance defense, nursing home litigation) preferred. FL State and Federal Court filing including E-Filing experience required. Proficiency in Microsoft Office applications such as Excel, Word, Power Point and Outlook required. Proficiency with Aderant software preferred but not required Requires critical thinking skills, superior communication and organizational skills, decisive judgment and the ability to work with minimal supervision.
