Legal Secretary Duties: Performs secretarial functions for attorney(s) requiring knowledge of format procedures and specialized terminology. Assigned to attorney(s) to support specialized legal practice areas and is supervised by the Director of Human Resources. Typing memoranda, correspondence, legal documents, charts and tables using various word processors. Thorough working knowledge of software applications as tools to complete assigned tasks. Open and sort incoming mail. Proofread finished documents. Set up conference calls. Receive/screen incoming calls. Take messages and put on voicemail. Speak with clients on telephone. Prepare, send and receive telecopies. Make photocopies. Prepare and update subfile lists for client files. Maintain files. Process attorney weekly time summaries. Review billing memos and prepare monthly invoices. Open new client files and subfiles. Schedule appointments. Make travel arrangements. Prepare correspondence from dictation. Arrange deliveries and court filings. Schedule court reporters for depositions. Update docket. Prepare and file: US patent, CON, and DIV applications, Retention letters and estimates, RCEs and IDSs, PCT applications, Foreign patent applications, Declarations, Assignments, Powers of Attorney, Preliminary Amendments, Responses to Notices of Missing Parts, Responses to Restriction Requirements, Office Action Amendments, Continuation Applications, Divisional Applications, Information Disclosure Statements, Terminal Disclaimers, Certificates of Correction. Process US and foreign maintenance fees. Correspond with clients and respot all corredspondence re: all the above. Print out proformas, separate, and give to attorney(s) to review. Send invoices to clients. Requirements: Must have 3-5 years secretarial experience. Legal secretarial experience, especially in Intellectual Property, is desirable. Must be able to work well with personnel at all levels. Must be very detail oriented, and in some cases, somewhat flexible on working extended hours when necessary. Must be able to operate the Firm software applications on an advanced level within a reasonable period of time. Preferred: High school diploma or equivalent required, degree preferred. Typing skills of 85+ wpm Proficient in Microsoft Word. Above-average computer skills. Must have strong organizational skills and communications skills, both verbal and written.
