Legal Secretary The candidate will provide support to assigned attorneys and provide backup to other attorneys as requested. This individual is responsible to assist with administrative tasks as it relates to the specific office and attorneys in order to contribute to efficient office operations. This position requires strict confidentiality. Prepare, edit and proofread a variety of documents (correspondence, agreements and pleadings). Manage and assist complex document production (including Bates Stamping). Draft simple pleadings and correspondence. Prepare court filings (make copies for filing, service copies, prepare attorney service order slip). File documents with various courts (traditional and e-filings). Prepare documents for mandatory e-filing for State and Federal courts (create pdf file; convert pdf file to a searchable document; bookmark all exhibits). Create Table of Contents and Table of Authorities utilizing tables function in Word and create them with accuracy. E-filing in Federal courts and Court of Appeals. Prepare/finalize discovery (propounded and/or responses). Prepare shell responses to propounded discovery accurately and efficiently. Communicate with court staff regarding various issues. Handle outgoing and incoming mail/FedEx for assigned attorneys (calendar any related deadlines, court appearances, meetings, mediations, etc.). Maintain calendars to include coordination and scheduling meetings, depositions, conference calls, sends calendar invites and reminders, reserves conference rooms. Tracks deadlines and status of cases/matters, and updates attorneys on court deadlines. Prepare Trial Memorandum and calendar all appearances/deadlines. Schedule local and out-of-town depositions; schedule conference rooms (in office and remotely), coordinate court reporter/videographer. Coordinate Mediation dates. Scan and uploading documents to NetDocs. Assist with trial preparation: create trial notebooks; coordinate trial copy jobs with copy service; coordinate delivery and pick up of trial notebooks, etc. from court. Create Masters for new files (Case Information Sheet, Caption, Proof of Service, Letter to Carrier and Client, and Letter to Plaintiff's Counsel). Answer telephones taking detailed messages. At request of attorneys, provides follow up and interacts with clients, outside counsel and others. Assist with Overflow Keep up with court/judge's rules and filing procedures. should have 3-5 years experience as a legal secretary. Excellent writing and communication skills are desired. Proficient in Microsoft Office programs is plus. Knowledge of legal terminology and principles is ideal.
