Part-time Paralegal Trainee/Client Relations Specialist Responsibilities: Responding to telephone calls in a client-friendly manner (within 4-8 hours), creating a great impression of the firms dedicated client service. Communicating with clients extensively, including arranging appointments, collecting documents, explaining procedures and collecting fees for services performed. Accurately taking clients messages for attorneys/staff. Greeting clients, making them feel comfortable, valued and important. Typing, filing and general office clerical and administrative tasks. Open new files, close completed matter files. Lead tracking with weekly reports to owner. Scan incoming and out-going correspondence. Calendar deadlines, action items and reminders. Prepare retainer agreements and action plans. Maintain client CRM system (Practice Panther). Social media engagement with our clients and potential clients. Support and assist other team members. Help identify trends, issues or possible actions for improved client satisfaction. Develop insights and recommended actions based on client feedback to enable improvement. Address client concerns in a manner that ensures client satisfaction. Attending executions of wills, real estate closings, depositions, court or administrative hearings and other proceedings with supervising attorney (includes witness and notary duties). Qualifications: Excellent written and oral communication skills, spelling and grammar especially. Excellent clerical and administrative skills, typing speed over 80 wpm. High level of computer proficiency and general office clerical and administrative skills. Direct communication, ability to provide clear easy to follow instructions. Knowledge and advanced proficiency with: office computing software including: Adobe Acrobat writer, Box, Outlook, Word, WordPress, Excel, Publisher, PowerPoint, Social Media and others. Working knowledge of Practice Panther or InfusionSoft is a plus. Great attitude with a sincere desire to help as a part of a team. Teachable with short learning curve.
