Corporate Legal Secretary The candidate welcomes guests and clients by greeting them in person or on the telephone; answering and/or directing inquiries. Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Conserves attorneys time by reading, researching, reviewing, verifying, and routing correspondence, reports and legal documents; drafting, formatting and revising letters and documents; collecting and analyzing information; initiating telecommunications; organizing client conferences, and attorney meetings; obtaining checks; scheduling couriers and other special functions; coordinating preparation of charts, graphs, and expense reports. Maintains attorney calendar by planning and scheduling conferences, teleconferences, attorney schedules, and travel arrangements. Responds to, updates, maintains and revises audit response letters to clients for the Firm, and maintaining files and updating information on the client database as it relates to the audit response letters. Assists attorneys in maintain and updating clients and contacts' contact information and various client development efforts. Opens new client matters files and maintains a list of client matter for attorneys; assists attorneys with conflict checks. Represents attorney by communicating and obtaining information; following-up on delegated assignments; knowing when to act and when to refer matters to attorney. Assists in submission of billable time and reimbursable expenses; reviewing and preparing invoices and communicating with clients concerning invoices. Maintains client confidence by keeping client/attorney information confidential. Utilizes electronic filing and retrieval systems and supervises file clerks. Enhances department and organization reputation by accepting ownership for accomplishing new and different requests and special projects; exploring opportunities to add value to job accomplishments and make recommendations. Communicates well, shows teamwork effort, and collaborates well with everyone you come in contact with. Special projects as assigned. High School Diploma required for this role is required. Two or Four year undergraduate degree or technical/trade school degree is preferred. Should have 5-8 years of experience and exposure working as a legal secretary in a law firm in the corporate or real estate group required.
