Legal Secretary Duties: File, organize, scan, copy, and fax legal documents. Schedule depositions, court hearings, and other meetings. Calendar deadlines. Assist attorneys with hearing and/or trial preparation. Set up matters in attorney billing management system and related share drive; Promptly communicate deadline expectations to originating attorney and/or client and meet all agreed-upon deadlines; Make travel arrangements for attorneys; Process third party and vendor invoices; and Effectively communicate with our clients to obtain necessary materials to process and prepare legal documents utilizing Dedicated Constant Communication. Sorting mail and filed legal documents into respective categories for physical filing (e.g. correspondence, pleadings, discovery); Physically filing and organizing legal documents into case files; Drafting and maintaining an electronic record of the status of each case filing; Scanning daily mail into electronic format, saving into respective electronic case folders, and emailing to relevant attorneys within 24 hours of receipt; Redacting documents to be filed at the attorneys direction; Tracking current processes and procedures for litigation filing, and creating new, more efficient processes as need be; and Providing phone support for the legal secretary and/or attorneys, including, but not limited to, taking phone calls and/or making phone calls to court clerks, clients and/or opposing attorneys. Qualifications: Self-Motivated. Customer Service Oriented. Dedicated Constant Communication is a core value. Respond to all communications within 2 hours, with a guaranteed response rate of 1 business day. Art of client communication is as important as the competency necessary to complete the assignments given. Detail Oriented. Thirst For Knowledge.
