Part-Time Legal Secretary Duties: Send thank you / nice to meet notes. Set appointments for the owner. Manage the owner s calendar. Manage who the owner speaks with. Send birthday cards / gifts. Making sure that all of our referral sources, clients, etc., are taken care of. Will make sure that birthdays are properly calendared and that gifts are sent out as necessary. Responsible for gift giving to the owner s family members. Coordinate hearing dates with opposing counsel / judicial assistants. Will be responsible for a case load of about 75 cases. About 50 of the cases are probate/estate planning related. The other 15 are primarily foreclosure defense actions. Will be responsible for calling opposing counsel, judge s chambers, judicial assistants and getting necessary hearings set, coordinating mediations, setting up phone calls and working with those parties to get stuff done. Answer the phones. Work with Spreadsheets EXCEL. Will be required to take those business cards, put the data into various spread sheets, reach out to those people on the firm s/owner s social media outlets (LinkedIn, Facebook, Twitter, AVVO) and send invites and make sure they are put on our mailer lists and other marketing avenues. Will be required to order offices supplies such as coffee, plates, paper, etc. Therefore, you must be proactive in seeing what the office is low on and order as necessary. Call / email clients to gather information / documents. In addition to scheduling telephone calls between the owner and client, will be responsible for reaching out to them for information and documents. Probate is very information heavy especially at the beginning. Get the information or data needed by the owner/paralegal. If the client wants a case update, will coordinate a call between the client and paralegal. As part of handling the owner s calendar, will be asked to schedule certain personal appointments such as scheduling doctor s appointments, dry cleaning pick-up, hair cut appointments, etc. Assist in the preparation of PowerPoint materials and handouts to be given to the attendees. Qualifications: Able to speak and write fluent Spanish and English. Excellent with Microsoft Products. Above average with software, computer programs and other tech A? stuff. Will be coordinating with potential referral sources, communicating with client, vendors, etc. In fact, in many instances, these people will be speaking with you and not the owner. Will be dealing with the owner and the firm s staff. We want to work with nice and enjoyable people. Schedule: 10-15 hours per week.
