Litigation Legal Secretary Duties: Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions. Formats and proofreads legal documents and papers, such as agreements, briefs and other pleadings for spelling, grammar and layout, and makes appropriate changes. Files electronic documents with the court. Types and designs general correspondence, memos, charts, tables, graphs, etc. Drafts written responses or replies by phone or email when necessary. Responds to regularly occurring requests for information. Mail, fax and/or arrange for delivery of legal correspondence and legal filings to clients, court officials and other governmental agencies. Organize and maintain documents, pleadings, correspondence and other materials in legal files. Assist attorneys in collecting records and other information and retrieves information from files as needed. Responsible for notifying the correct department for things such as check requests and new client/matter files. Transcribe digital and tape dictation. Accurately enter attorney time using Rainmaker Accounting System. Attend meetings as scheduled. Take messages or fields/answers all routine and non-routine questions. Works in cooperation with other Legal Assistants to provide phone coverage for Receptionist breaks. Works independently and within a team on special nonrecurring and ongoing projects. Generates revenue by documenting and inputting attorney billable time and reimbursable expenses, preparing invoices and tracking payments. Requirements: High school graduate or equivalent. 3 years of continuous litigation secretarial experience. 5 years of continuous litigation secretarial experience strongly preferred. Experience with local, state and federal court filing procedures, including electronic filing. Working knowledge of Table of Authorities and Table of Contents using styles or manually tagged. Working knowledge of Redlining. Proficiency using Microsoft Office, in particular, Word and Excel. eDocs Open Text Document Management System experience preferred. Accurate typing (65+ wpm) and proofreading skills. Attention to detail. Strong organizational and interpersonal communication skills (both oral and written).
