Legal Secretary Duties: Preparation and/or revision of letters, memoranda, pleadings and other legal documents using Microsoft Word and its features via digital dictation or other means. Manipulation of documents which includes the duplication, printing, mailing, formatting and/or merging of documents. Proofreading of all work for both accurate content and format. E-filing and service of documents in both state and Federal courts. Preparing and maintaining client and office files and indexes in both the firm document management systems and hard copy as required. Input lawyers time into time entry system. Preparation and submission of new client and/or new matter forms. Make travel arrangements which include: transportation, automobile rentals, and hotel reservations with in-house travel agent. Preparing and submitting expense reports using Chrome River and performing electronic check requests for expenses and charitable contributions, when required. Communicating with clients, co-workers and Courts via phone or email. Scheduling and coordinating meetings, depositions, and conferences. Managing attorneys calendars including docketing. Assist paralegals and attorneys with deposition, arbitration and trial preparations. Qualifications: High School Diploma or its equivalent required. Must have 3+ years of legal and/or secretarial experience. Experience in Civil Litigation and Labor & Employment is preferred. Knowledge of Colorado and New Mexico state and federal rules of civil procedure and court filing systems preferred. Must have outstanding written and verbal communication skills and the ability to professionally interact with clients, attorneys, and staff in a team environment. Must be very detail oriented, organized and able to multi-task and prioritize. Must have excellent reading comprehension and proofreading skills. Strong document processing, project management and typing skills required. Proficient in advanced levels of Microsoft Outlook, Excel and Word and the use and application of Styles, Redlining, and Adobe Pro, Nuance or PDF Docs4. Must be able to operate the Firm's software applications at an advanced level within a reasonable period of time. Experience with document management program iManage DeskSite preferred.
