Senior Legal Secretary Duties: Types and assembles, in final form, legal pleadings for filing and service in all state, federal or State Bar courts from dictation or draft notes, ensuring that litigation deadlines are met. Interprets court rules and judges rules for requisite format and number of duplications of pleadings. Processes the production of legal documents and distributes documents to the appropriate court and in-house personnel. Proofreads and assembles other legal documents, including, pleadings, contracts, legal memoranda, letter opinions, proposals and/or other documents unique to the department, office or unit to which assigned. Hand drafts notes, and local instructions, from Supervisors to correctly complete projects to which the position is assigned. E-filing and E-service in: Federal Courts; Appellate Courts; State Courts; ADR Entities; and other Governing Bodies. Review and analyze complex written documents. Qualifications: High school diploma or equivalent. 15+ years of solid and directly relevant legal secretarial experience. Proven proficiency in, including: Microsoft Office (Outlook, Word, and Excel); Vision CompuLaw preferred (or other legal calendaring software); Adobe DC Pro; Citrix ShareFile (or other FTP utilities); and Zoom. Accomplished computer keyboarding skills. Mastery of rules of vocabulary, grammar, spelling and punctuation, as specified in Webster's New Collegiate Dictionary. Understanding and mastery of principles of complex and specialized legal secretarial support. Superior skill and ability to navigate various Court websites as to filings, local rules, judge's rules and other critical information essential to Court required form and process. Substantial experience in trial preparation. Thorough knowledge of litigation process. Excellent understand of and strong competency in legal calendaring. Strong mastery of Tables of Contents and Tables of Authorities in Microsoft Word. Receive and relay detailed information through verbal and written communications. Possess visual capability and digital dexterity to operate a computer and other standard office equipment. Stellar proofreading of written documents and viewing information on a computer screen. Ability to communicate clearly, concisely, and effectively in person and in writing; particularly in legal writing skills. Ability to understand and adhere to centralized information and data record-keeping systems. Demonstrated ability to communicate with a pleasant and professional disposition and work well independently and as part of a team. Understanding of definition of appropriate workplace business-casual attire. Ability to excel and thrive under time constraints and Court deadlines.
