Practice Assistant (Legal Secretary) The candidate will provide direct support to partners and associates. Will be responsible for legal and administrative tasks, such as document creation, e-filing, opening and closing of files, time entry/billing, travel arrangements, meeting/conference scheduling and other special projects. Prepare legal documents and correspondence from draft or dictated text. Maintain client and firm files. Open and close files according to Records Department procedures. Manage attorneys' calendars, coordinates meetings, schedules conference rooms, and make travel arrangements as required (using the firm's dedicated travel agent, Ultramar). Assist with billing process to include entering attorney time, reviewing pro formas (initiates transfers), editing and preparing draft/final bills and cover letters for clients. Prepare forms for expense reports, check requests, reprographic services, etc. Open, prioritize and distribute mail. Coordinate mailings, deliveries, copying and courthouse filings. The candidate should have high school diploma or GED or and 3-5 years of related legal experience or an equivalent combination of education and experience. Should preferably have 3+ years of litigation and financial services experience. Must be proficient in Word, Excel, Outlook, Chrome River or similar expense-tracking software.
