Legal Secretary The candidate will input, revise and finalize correspondence, memoranda and other legal documents. Drafts routine correspondence, memoranda and other documents. Will proofread documents and checks for appropriate formatting, spelling and grammar. Receive, review, print and deliver electronic communications as necessary. Sort, date and reads incoming mail. Prepare documents and packages for mail, messenger and overnight delivery. Prepare expense reports, manages vendor invoices, mailings, and travel arrangements. Complete client/matter forms. Requests conflicts of interest checks. Open new files. Maintain all client and general files. Conducts periodic review for possible storage of old files and prepares files to be closed. Coordinate and follows through on requests and projects with other support departments (e.g., word processing, receptionists, file/document clerks, office services). Provide overflow assistance and secretarial support for Secretarial Team Members attorneys. Review client bills as necessary. Knowledge of office organization, workflow, and procedures at an executive level. Receive and screens visitors and telephone calls; responds to inquiries on a variety of matters. Use diplomacy and discretion in exchanging information and in referring and directing callers and visitors. Interpret instructions and guidelines in order to make decisions and take necessary actions. Properly maintain and manages highly confidential information. Maintain composure during stressful situations occurring as a result of workloads and/or deadlines. Schedule and arrange meetings and conferences and notifies interested parties; arranges travel including scheduling transportation and making hotel reservations. Maintain attorney calendars. Evidences a high level of organization and time management skills. Composes agendas for client/internal meetings. Organize and maintains filing systems related to the work. Evidence knowledge of legal terminology and syntax, and of the content, organization, and formatting of legal documents and correspondence. Compose correspondence and reports in Microsoft Word and Excel. Apply instructions and/or guidelines as appropriate in the performance of management support activities. Communicate effectively and follows complex instructions. Transcribe documents from written, oral, or computer generated formats. Interpret instructions and guidelines in order to make decisions and takes necessary actions. Determine work priorities successfully. Perform other duties and projects as assigned. Should have typing speed/accuracy 70+ wpm with accuracy. Proficiency in Microsoft Programs (Word, Outlook, Excel) is needed. Legal citation and legal terminology expertise is advantageous. Excellent grammatical and spelling skill is advantageous. Familiarity with Carpe Diem, Elite, Chrome River, DeltaView, document management systems or similar technology.
