Legal Secretary Duties: Work with other administrative support staff largely interchangeably to assist and support the attorneys in the firm. Combines traditional legal secretarial skills with administrative assistant and paralegal skills. Will be in part a legal secretary, in part co-office manager, and to a lesser degree but in part a paralegal. Maintaining positive and open communications with clients. Word processing and editing to support the preparation and assembly of litigation papers (e.g., pleadings, memoranda of law, affidavits, discovery demands, etc.), legal opinions, memoranda, daily email and letter correspondence; Coordinating and maintaining attorney schedules and calendars; Organizing, filing and maintaining client and firm business files; Preparing and assembling documents and exhibits for court filings and other purposes. Serving and filing documents with state and federal courts and administrative agencies, including electronically filing such documents when required, and making arrangements for service by a service company; Preparing and making bank deposits; Preparing retainer agreements; Data-entering attorney time and assisting with bill preparation; Answering phones; Communicating effectively with clients, government agencies, adversaries, the firm s vendors, consultants, accountants, bankers and others with whom the firm does business; Archiving and/or disposing of old files as directed; Monitoring, ordering and restocking supplies; Researching, downloading, and organizing material from Westlaw and the Internet; Working collaboratively with other staff; and Such other and further responsibilities as may be assigned by the partners of the firm. Qualifications: Prior work experience in the areas described as essential functions above is preferred. Professional, friendly demeanor and conduct is essential. Strong verbal communications skills. Strong computer skills, including Microsoft Word Office Suite (Word, Outlook, Excel). Ability to multi-task and prioritize, including seeking guidance as to priorities as needed, while working for multiple persons. Ability to work under pressure. Strong ability to work collaboratively and pleasantly with other administrative personnel and attorneys in close working environment. Professional appearance and conduct. Ability to keep confidences appropriate to a law firm and its clientele.
