Legal Secretary The candidate will work for the Personal Injury Firm. Will be responsible for: Scheduling depositions with clients, opposing counsel, court reporters, etc.; Maintaining Attorney calendars; Electronic scanning / saving of mail to proper personnel; Sending out miscellaneous correspondence; Meticulous tracking of all case activity in our case management system. Will perform all clerical/admin duties as assigned and/or required to support the office. Assist legal secretaries and paralegals with file downloads and uploads, scanning and document production. File and name documents in accordance to firm procedures, placing an importance on accuracy. Answer phones and providing coverage to the front reception desk; greet office visitors and respond to their needs. Other duties as requested by management. Possesses a strong understanding and abides by the policies and procedures of the firm. Flexible and willing to pitch in wherever needed. Demonstrates a positive attitude and is approachable. Adapts well to fluctuations in workload and changes in responsibilities. Able to work in highly-stress situations with a very demanding case load. Presents written communications that are concise and accurate. Exhibits confident and professional verbal communication skills. Answers questions clearly and thoroughly. Proficient with Microsoft Word, Excel, and Outlook. Experience with a document management system, a plus. Attendance & Punctuality: Be consistently at work and on time; arrive at meetings and appointments on time; ensure work responsibilities are covered when absent. Possess excellent verbal and written communication skills. Follow instructions; complete tasks on time; commit to the hours necessary to complete assignments; work independently. Contribute to building a positive team spirit; support everyone's efforts to succeed. Possess basic PC skills; ability to use phone system, copier, scanner, fax, and printer. Minimum of a high school diploma required (College degree is preferred, but not required). 1-3 years of law firm experience preferred. Prior law office experience (but would be a plus). Spanish-speaking is preferred.
