Legal Secretary - Patent Prosecution The Legal Secretary performs secretarial and administrative functions for attorney(s) requiring knowledge of intellectual property practice specific tasks and specialized terminology. The Legal Secretary maintains working knowledge of U.S. PTO policies, rules, and procedures and has the ability to appropriately prioritize multiple work assignments and meet deadlines. Assigned to a minimum of three attorneys to support specialized legal practice areas and is supervised by the Office Administrator. This position primarily supports attorneys in the Intellectual Property Section of the Firm s Washington, DC office. Each secretary s job differs according to the area of law to which is assigned and to the attorney(s) personal preferences. Below are listed most of the responsibilities and tasks required of secretaries in the Intellectual Property section and in general. Prepare new applications including Provisional, Non-Provisional, Continuation, PCT and National Phase applications, making sure final deadlines are met and all papers are properly prepared and filed in a timely manner with the USPTO. Prepare Amendments, Notice of Appeals, Responses to Restriction Requirement, Notice to File Missing Parts, Notice to File Corrected Papers, Request for Continued Examination (RCE), Appeal Briefs and other necessary filings to the USPTO. Maintain backup docket on a daily basis making sure all filings are completed and filed in a timely manner via hand-delivery or EFS (Electronic Filing System) with the USPTO. Report correspondence received from the USPTO to clients in a timely manner. Prepare correspondence and responses for mailing, faxing, courier, FEDEX, including the certificate of mailing, copy and filing of documents. Provide information to IP Docketing Department for new matters and items filed with and received from USPTO. Order and obtain copies of issued patents and patent file histories. Verify accuracy of entries made in the docketing system. Obtain copies of patents, file wrappers and other documents as requested. Ensure time entry is input correctly into the timekeeping system in a timely manner. Prepare new client/matter opening requests. Final review of USPTO submissions upon request. Coordinate meetings and conference calls (i.e., client notification, conference room scheduling, catering arrangements, audio-visual set-up, and/or conference call scheduling). Communicate with clients on non-legal inquiries as directed by assigned attorney(s). Perform other various administrative duties such as preparing notebooks, exhibits and forms. Assist other secretaries or attorneys with production of legal documents or other administrative tasks; volunteer to assist with special needs or projects as workload permit. May spend more time on administrative tasks, such as managing electronic and hardcopy paper flow of client and attorney documents, rather than typing and revising documents. The tasks performed day-to-day will vary each day and depend on the practice area and attorney preferences. Each secretary is expected to meet and ultimately exceed the minimum skills requirements identified for secretaries through training and practice. Assignments may change from time-to-time and flexibility is essential. Secretaries are expected to offer support and service not only to all assigned attorneys, but also to any attorney within the practice group, office or Firm. QUALIFICATIONS: Candidates for this position must have 5+ years legal secretarial experience in patent prosecution and must have extensive knowledge and understanding of USPTO rules, regulations, and procedures as well as a general understanding of foreign PTO phases and deadlines. Must be able to demonstrate an expertise in Adobe Acrobat, Microsoft Word 2010 and Outlook 2010, as well as have reasonable knowledge of other Microsoft Office 2010 software applications (such as Excel and PowerPoint). Candidates must have excellent proofreading skills, and have the ability to operate the Firm specific software applications including customized tool bars and table styles at an advanced level within a reasonable period of time. Strong organizational skills and communications skills, both verbal and written; must exhibit an attention to detail, conscientiousness, versatility, professionalism and reliability, and an ability to work well as a team member and with personnel at all levels. This position requires flexibility to work overtime if needed to meet deadlines. High school diploma or equivalent required, degree preferred.
