Litigation Legal Secretary Duties: The candidate will transcribe, draft various documents, forms, including correspondence and court documents; edit, finalize and format documents and copy and distribute as appropriate. Includes drafting of pleadings and discovery documents. e-Filing or manual filing with State, Federal and Appellate Courts. Generation of Table of Contents and Table of Authorities; assist with trial preparation. Proofread and redline documents and correspondence to ensure accuracy and quality control of copy, including grammar and spelling, in final format. Assist in preparation of pre-trial order and update interim status reports to clients; work with paralegals to manage litigation support resources assigned to the matter. Participate in all aspects of trial preparation as needed, especially in terms of coordinating logistics. Conduct research as requested. Coordinate telephone messages and conference calls for attorneys and clients. Manage attorney calendars and coordinate meetings (determine availability of attendees, send meeting notifications/reminders, conference room and equipment set-up, refreshment orders and preparation of meeting materials). Coordinate travel arrangements, including air, hotel, and car plans for attorneys and clients. Input and edit attorney time entries in DTE and confirm appropriate client and matter association. Prioritize and manage legal work through available firm support, including the Resource Center, Library, Marketing, Hospitality, Litigation Support. Coordinate billing, including preparation, review and editing of pro-formas and compilation of appropriate documentation for inclusion with final invoice to clients. Assist the team with overflow as needed, particularly when prepping for filings, hearings/trials, depositions. Qualifications: Four year degree or equivalent experience preferred. Must have 5+ years of experience as a legal secretary, preferably in a law firm or processional services environment. 3+ years of litigation experience. Litigation software knowledge, including Adobe, timekeeping software, Outlook; PACER. Comfortable with producing Table of Authorities and Table of Contents. Proficiency with e-filing. Familiar with a variety of state and federal court rules and filing procedures. Excellent organizational skills, including the ability to manage priorities and meet deadlines, essential. Experience and Understanding of discovery process and state and federal court rules. Understanding and application of computer hardware and software products, including those specific to litigation, especially Word and Internet searching. Able to type 70+ wpm.
