Receptionist/Legal Secretary The candidate will join Personal Injury/Family Law Firm. Should have 2+ year experience working as a Receptionist, Administrative Assistant, Legal Assistant or Secretary. Must be Bilingual in Spanish (speak and write). Should be fluent in Spanish. Must be able to handle multiple calls at the same time while handling other administrative/clerical duties. Appearance must be polished and professional. Attitude must be positive and professional. Excellent typing skills and proficient in Microsoft Office Suite, Google Calendar, and Outlook. Must be able to communicate with clients, co-workers opposing counsel and courts effectively and efficiently. Candidates must have proven track record of organization skills, have excellent typing skills, exceptional attention to detail, and have the ability to prioritize, multitask, and work in a team environment. Ability to maintain calm, polite, and patient in stressful situations. Must have a vehicle or reliable transportation. Greet guests/clients with a welcoming smile and friendly demeanor and take to conference room. Answer phones, giving non-legal information, transfer to attorneys and take messages in a respectful and professional manner. Call Clients to provide updated information and case status. Process and Collect Payments and fees. Schedule and confirm client consultations after performing conflict checks. Request hearings and calendar in attorneys calendars. Prepare letters/emails on own initiative for approval of lawyer. Opens office mail, files, scans, and copies documents in an organized manner. Mail letters and documents via Certified, Registered USPS, FedEx. Prepares files or assists attorney in preparing files for upcoming hearings and depositions. Correctly file pleadings with the Courts. Close cases by scanning files into computer storage and ensure clients receive their files. Order and shop for office supplies. Maintain office and conference room clean and tidy at all times. Orders/picks-up lunch for attorney. Performs other duties as assigned.
