Paralegal or Practice Support Coordinator (White Plains) The candidate will assist in the preparation, coordination, execution and management of finance documents associated with transactions involving firm clients, Prepare IDA bond/straight lease closing documents and closing transcripts, including physical transcripts and transcripts on CD Rom, Prepare resolutions for straight lease, IDA bond, corporate and real estate transactions. Prepare UCC-1 and UCC-3 financing statements, Type from draft a variety of correspondence and legal documents such as billing letters, retainers, briefs and contracts, etc. ensuring accuracy and quality, Intensive editing and formatting of various and voluminous documents relating to closings, Daily black-lining of documents in Workshare and converting PDF documents to Word documents and vice versa, Track documentation and procedural developments in numerous separate actions Communicate daily with client, local client if applicable, borrower s/opposing counsel, and local, state and federal offices, Prepare and publish legal notices, File maintenance requiring substantial familiarity with digital filing and retrieval, organize, maintain and periodically purge physical files, Organize and maintain documents related to transaction/closing, Maintain and update SharePoint sites for client access, Travel to, attend and expedite closings, Assist with document review and production, Receive, screen and transmit calls and messages to attorneys, Maintain calendars and schedule appointments; coordinate travel arrangements and internal and external meetings and conferences, Assist other practice groups as needed, Enhances own professional growth and development through participation in educational programs, in-service meetings and workshops, and reading of current literature, Enters billable and nonbillable time for self into a software (Carpe Diem), Understands and complies with all applicable Firm policies, procedures, and philosophies, Performs other related duties as assigned or requested. Paralegal certificate and/or Bachelor s degree or equivalent combination of education and experience preferred, 3+ years of experience in public finance or commercial real estate practice area required, Proficiency in Microsoft Office applications required, specifically Word and Styles, Must exhibit well-developed interpersonal and client relation skills, Exceptional verbal and written communication skills required, Excellent organizational skills, Must be able to effectively multi-task, meet deadlines and excel in a team atmosphere, Excellent client service and listening skills, Strong analytical skills and the ability to multi-task, Ability to work with diverse personalities within various levels of the organization, Exercises sound independent judgment under minimal direct supervision, Ability to manage time efficiently and work independently as well as coordinate with a team.
