Legal Secretary Duties: Performs high level administrative and production tasks for a team of law firm partners, counsel and associates. Drafting correspondence and meeting notes, editing complex documents, creating presentations, calendar and meeting management, domestic and international travel arrangements, filing, client billing and expense processing. May be required to maintain, track, analyze, and/or report on key data for senior management including financial and budgeting info. Assisting with marketing and events planning activities, working across firm offices, interacting with clients, senior leadership, charity organizations, top business leaders and vendors. Maintains schedule and calendars of timekeepers as assigned. Manages all channels of communication including correspondence, telephone, and email. Types typical legal and administrative documents including correspondence, memos, letters, charts, check requests, new matter memos, briefs, pleadings, agreements, and other such documents specific to the timekeepers areas of practice. Organizes and schedules small and large meetings in person and/or via conference calls. May include arranging for conference rooms and meals. Makes extensive travel arrangements. Proofreads all work for errors, including reading documents for content and context. Submits conflicts requests and preparation and submission of new business intake forms for new clients and/or new matters, including preparation of appropriate accompanying engagement letter. Inputs attorney time into 3E, reviews for accuracy and corrects any errors. Reviews client billing for accuracy; edits content/grammar. Performs administrative functions such as preparing check requests for vendor statements and other administrative tasks. Requirements: High school degree, some college preferred. 3+ years Executive Assistant level experience in a legal or other professional services environment. Advanced knowledge of and technical savvy with firm systems and resources including Microsoft Office, Concur, Skype, attorney timekeeping program and billing and accounting software.
