Legal Secretary The candidate will assist firm attorneys to meet client needs. Draft and proofread legal documents; conduct research; prepare correspondence and spreadsheets; organize and maintain files; and interact with clients and the general public, in accordance with established policies and procedures of the firm. Draft, prepare, update, and proofread complex estate planning documents and forms, such as wills, trusts, and asset lists, while maintaining confidentiality. Organize and maintain hard copy and electronic files; retrieve upon request by attorneys. Proofread all correspondence. Assist with drafting of key documents. Read and interpret client financial statements and assist clients with trust funding. Maintain and effectively utilize estate planning software applications daily. Organize and manage transfer of assets to trusts, probate estate and beneficiaries. Maintain, update, and revise annual files for estate planning continuity program. Ensure highest level of client satisfaction by responding in a timely manner to all client calls, questions, and/or inquiries. Be proactive and ensure client issues are brought to the attention of attorney throughout the process and all client deliverables are timely. Conduct research on legal matters pertaining to current wills, trusts, estate planning and probate laws, as requested by attorney. Continuously track clients through the process and follow up as needed. Track and enter all time worked daily. Actively participate and meet regularly with team members on present and future practices. Make recommendation for improved efficiencies. Attend marketing events as requested. Perform general operational tasks as needed; answer telephones; prepare and open or sort mail; clean reception and conference areas; and serve as back up to receptionist. The candidate should have High school diploma with 2-4 years' related administrative experience supporting attorneys. Prior experience working on estate planning documents. Processing Veterans Administration and/or Medicaid applications a plus. Knowledge of the probate process a plus. Must have Knowledge of modern office equipment (printer, copier, fax, scanner). Should have Knowledge of and efficient computer skills: Windows, Internet email, Microsoft Office- Word, Outlook, Excel, Power Point. Must have excellent verbal and written communication skills (grammar, punctuation, spelling and proofreading skills).
