Paralegal - Estate Planning and Trust Administration The candidate will be responsible for assisting our attorneys and team members with the accurate/timely drafting of all estate planning and associated documents, servicing and assisting our clients with any needs or issues that may arise. Support Trust Administrative activities and attorneys, handling daily client meetings/telephone inquiries, preparing all documentation to support clients and trustees in administering trusts and estates, and researching legal issues. Use Abacus software to update client information on the database and conflict check against the entire client database. Draft Estate Planning documents using WealthCounsel. Make corrections/changes to the Estate Planning documents as instructed by the attorney and client. Prepare wills, powers of attorney, and related documents. Prepare deeds and related documents for the transfer of assets/entities. Research real property to confirm title. Respond to client inquiries about drafts and other Estate Planning or Trust Administration matters. Merge, format, and mail drafts of Estate Planning documents to clients. Take lead responsibility for signing meetings, ensuring all documents are properly signed, notarized, and scanned into the client file. Participate in weekly Estate Planning meetings and monthly All Staff meetings. Analyze trust and prepare Trust Summary for initial consultations with clients. Update checklist as items come in and follow up on checklist needs 30 days follow-up. Schedule TA/TT Appointments; answer all Trust Administration phone calls and route to the appropriate person to answer. Correspond with clients to address client questions and concerns on drafts. Set up new decedent appointment and complete new decedent docket, send correspondence through the mail as applicable. Attend client consultations with an attorney regarding Trust Administration process, assets, signings, allocations, distributions, etc. Prepare Authorizations, Affidavits, Certifications, Deeds, Schedules, correspondence, transfer and funding documents, documentation for beneficiary s distributions, and Trustee Reports. Meet with clients to explain and notarize documents. Complete Trust Administration closing documents asset checklist, general assignment, deeds, affidavit, Trust certifications, generic and specific letters, letters of instruction, letter to IRS, Settlement Agreement, etc. Manage multiple projects and deadlines The candidate must have proven experience in a law firm specializing in Estate Planning and Trust Administration. A College degree and at least 5 years related work experience is needed. Paralegal certificate is necessary. Notary Public is critical; experience in Estate Planning and/or Trust Administration; additional on-going courses and continuing education programs in the stated specialties is desired. Experience with WealthDocx, Abacus, Asana, and/or Clio is a plus. Strong emphasis on accuracy, quality, attention to detail, and strong analytical skills is critical. Excellent written, verbal, and interpersonal communication skills are must. Positive and productive attitude with a strong work ethic and team-player mentality is necessary. Strong organizational and time management skills and the ability to take initiative are must. Reliability, flexibility, and ability to complete quality work in a timely manner is needed. Ability to work in a team environment as well as work independently is essential.
