This large international New York law firm founded in 1934 has established a full-service presence. Clients include large corporations and individuals as well as small and medium-sized businesses. The firm represents a wide range of industrial, financial and commercial enterprises, both publicly and privately held. Firm lawyers represent clients in every state as well as numerous foreign jurisdictions. The firm is organized by legal specialization: corporate, e-commerce, employee benefits, estate planning, government and regulatory affairs, health law, intellectual property, international, litigation and tax. Legal Secretary Duties: Provide legal and non-legal administrative support to attorneys and clients. Prepare documents, forms, spreadsheets, and presentations including IP Litigation specific documents such as: documents & pleadings for Federal, State and and Appellate Courts /agency filings, services and client files, maintain case documents and information in various electronic databases. Provide assistance with trial preparation. Organize and maintain case files and administrative files. Process intake of new clients, create client files, search, and print reports. Work with assigned billing specialist: prepare invoices, create cover letters, copy, and mail invoices. Coordinate meetings including videoconferences, conferences calls, A/V equipment, catering, presentation materials, visitors, rooms/offices. Manage contacts and calendar. Manage phones including: screen incoming calls and handle messaging, transfers, and conference calls. Schedule travel; process expense reports, check requests and business development activity; perform GL coding. Enter and release time for timekeepers; print reports as requested. Requirements: Bachelor s degree preferred. IP Litigation legal secretary experience required and 3 years in a professional services environment. Proficiency in Microsoft Office, (including creating and/or updating table of contents, table of authorities, and defined terms), Outlook, Adobe Pro, Document Management, and time entry systems. Strong knowledge of court filing procedures specifically electronic filing systems for Federal, State and Appellate courts, USPTO and PTAB, and International Trade Commission (ITC). Ability to navigate IP Litigation specific sites including: Pacer, ECF, and PTO website databases. Strong attention to detail. Professional interpersonal communication skills, both verbal and non-verbal. Excellent teamwork and collaboration skills. Self-motivated and able to work independently and effectively utilize time and resources. Client service/customer satisfaction oriented. Exposure to DTE and Filesite preferred.
