Paralegal/Office Administrator The candidate will responsible for the business administration of the local office, including all support functions. Will manage the routine facilities and information systems operations of the office as assigned. Legal research, fact investigation, and preparation of documents to assist attorneys. Under general supervision, this individual researches and analyzes law sources such as statutes, recorded judicial decisions, legal articles, treaties, constitutions, and legal codes to prepare legal documents, such as briefs, pleadings, appeals for review, approval, and use by attorney. Identify and prepare exhibits for depositions, mediation and trials. Because the office does not have administrative assistants, this position will perform functions that are sometimes administrative and more typical of a legal secretary. Prepare pleadings, motions, discovery and correspondence relating to the office s clients in both litigation, counseling and transactional matters as assigned. Maintain calendar for Shareholder. Manage documents and identify and locate pertinent documents for various projects (such as exhibits for a trial/deposition, key discovery responses or correspondence that contains relevant communications). Help coordinate workflow and reminders for attorneys. As needed, work with Shareholder in charge of the office and/or Associate attorneys and staff in other firm offices. Issue building identification and office keys. Maintain personnel directory. Acts as Liaison between firm and landlord regarding any facilities projects, maintenance requests, or issues. Acts as safety coordinator and trains employees on emergency procedures. Coordinates orders from main office facilities group and makes sure office is well-stocked with office supplies, kitchen supplies and marketing materials. The candidate must have 3-5 years of experience. Should preferably have Bachelor's degree. Should be able to demonstrate working knowledge of litigation, proficiency with transcription, attention to detail, and competency with procedural rules in federal and state courts. Excellent oral and written communication skills are critical. Excellent client service and organizational skills to proactively manage workload with minimal supervision are essential.
