Legal Secretary The candidate must have strong experience in litigation and an interest in working with transactional documents. Should have relevant legal administrative assistant / secretarial experience in a professional office setting, where the work environment is busy, demanding, but rewarding. Job duties will include: processing, reviewing, and compiling large volumes of client documents; analyzing correspondence and saving key documents for later review; developing and establishing chronological order of timelines using numeric labeling; maintaining paper and electronic files; preparing and maintaining binders; drafting and proofing written materials and documents; transcribe communications utilizing electronic dictation; redlining of contracts utilizing comparison software; thorough understanding of versions within MS Word; maintaining data within databases or Excel; developing and maintaining professional work relationships with attorneys, managers and staff; upholding a strict attention to detail; and maintaining complete confidentiality of client matters. Primary support responsibilities will center on the accurate and timely execution of: Daily administrative and clerical support to the three or more attorneys; Meeting preparation to include scheduling meetings and communicating with internal and external clients; Expense reporting and time entry; E-Court filings and the ability to accurately decipher court rules; Data maintenance, data / electronic document management, and reporting, both within a database and/or Excel; Regular engagement with a variety of individuals and interpersonal styles, including attorneys, paralegals, and outside business partners; and Drafting and proofing written materials and documents with attention to detail and professional writing skills and grammar. Must have 3+ years of experience in a hands-on administrative support role supporting multiple managers; direct legal experience. Associates degree or equivalent additional related experience is essential. Should have regular data maintenance and management of electronic databases and/or Excel spreadsheets. Should have experience with both electronic and paper file maintenance and organization.
