Litigation Legal Secretary Duties: Principally work under the supervision of the supervising attorney(s) and provide support to the Litigation Group in the Firm. Enhance attorney effectiveness by providing information and support; representing the attorney(s) to clients and others. Coordinate schedules, draft legal documents, take messages and answer telephone calls, file and coordinate case filing projects with the assigned file clerks if applicable. Welcome guests and clients by greeting them in person or on the telephone; answering or directing inquiries. Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Conserve attorney's time by reading, researching, reviewing, verifying, and routing correspondence, reports, and legal documents; drafting letters and documents; collecting and analyzing information; initiating telecommunications; organizing client conferences, and attorney meetings; scheduling couriers, court reporters, expert witnesses, and other special functions; coordinating preparation of charts, graphs, and expense reports. Maintain attorney calendar by planning and scheduling conferences, teleconferences, dispositions, and travel; recording and monitoring court appearance dates, pleadings, and filing requirements; dockets court-imposed deadlines. Represent the attorney by communicating and obtaining information; following up on delegated assignments; knowing when to act and when to refer matters to the attorney. Assist in submission of billable time and reimbursable expenses; preparing invoices and communicating with clients concerning invoices. Maintain client confidence by keeping client/attorney information confidential. Utilize electronic filing and retrieval systems and supervises file clerks. Enhance department and organization reputation by accepting ownership for accomplishing new and different requests and special projects; exploring opportunities to add value to job accomplishments and making recommendations. Qualifications: Must have a High School Diploma required with a 2-4 year undergraduate degree or technical/trade school degree preferred and 3-5 years of experience and exposure working as a legal secretary in a law firm in the litigation group required; exceptional computer skills and proficiency using Microsoft Office products, including Word, Excel, Outlook, PowerPoint, and Adobe Software; experience working with various practice and case management databases (iManage), and timekeeping and billing systems; excellent communication skills with the ability to speak and write clearly and informatively and able to read and interpret information; exceptional communication, customer service, organizational, time management and detail-oriented skills required; a team-oriented work ethic and logical mind and be able to follow instructions and resolve conflicts and relate well with various types of persons; ability to work under the supervision of the assigned attorney(s) and provide support to the litigation group; working knowledge and experience of the law firm industry including office and department procedures, workflows and organization; knowledge and experience with e-filing procedures; ability to effectively communicate with clients, court personnel, counsel, third parties, private investigators, medical providers, experts, etc., and maintains regular contact with all parties; consistent follow-through and ability and flexibility to multi-task and effectively balance priorities and meet tight deadlines; communicate well, shows teamwork effort, and collaborates well with everyone you come in contact with; exceptional customer service and people skills and work with in a team concept; special projects as assigned. Must be a proactive, organized professional who is able to perform each essential duty satisfactorily; able to maintain confidentiality; willing to work additional hours and weekends as required; dependable and adhere to firm policies and procedures and work the required hours for the role.
