Legal Secretary, Compensation and Benefits The candidate will support the Practice Group Leader of our Compensation and Benefits practice group, in addition to a partner and several associates on the team. Will provide legal and advanced-level executive administrative support and function as a traffic controller for the team. Will have extensive interaction with clients' senior executives daily, and regular contact with other lawyers and staff members within the team and within the firm. Wwill need to be a collaborative teammate and able to provide advanced, diversified and confidential administrative support for the Partner. Will able to exercise considerable discretion and independent judgment, and take initiative while handling administrative tasks. Will also act as a point of contact for other members of the group and assist with workflow. Will have heavy client billing including making narrative edits on reviewed bills and working with billing coordinators to process and prepare client invoices; facilitating collection of client invoices. Will handle the partner's phone and email account, extensive meeting planning, and managing a busy calendar. Make extensive travel arrangements; and completing travel expense reports. Perform research on prospective clients. Open new client matters, create client engagement letters, initiating conflicts reports, and preparing Audit Response Letters. Input attorneys time and any other related duties as assigned.
Qualifications: High School Diploma or equivalent. 5+ years' secretarial experience in a law firm environment. Excellent written and verbal communication skills. Proficient at handling executive-level administrative tasks including travel arrangements, handling calendars, and making complex meeting arrangements. Experience with partner billing and collections. Strong document production skills. Advanced computer skills including MS Office Suite, including PowerPoint. The ability to prioritize and organize multiple tasks in fast-paced/high pressure working environment and the availability to work overtime as needed. Enthusiastic approach to client service, and ability to work successfully in a team.
