Legal Secretary DUTIES: Typing documents, firm standard letters, correspondence, and memoranda received via hand-written copy, electronically, Dictaphone, dictation or edited typed work product to firm format standards. Use Word, Outlook and other Microsoft Office products at an advanced level, including. Section and page breaks. Cross referencing. Page numbering. Styles and schemes. Document comparisons . Assist with Document Management System and Email Management System. Using internal programs for document revision and clean-up. Answering telephones. Using Intapp Time for accurate entering of time and expense records. Preparing Expense Memoranda. Using file system for organizing/maintaining sets of files. Using Internet to make travel reservations. Copies, scans and files various client documents. Proofreading all work to ensure accuracy. Handles confidential documents and information with discretion. Handle or assist with client matters (when appropriate). Telephone and e-mail. Prepare for meetings . Acts as backup to other legal secretaries to support additional attorneys or paralegals when necessary to assist with overflow work.
Qualifications: High School (or equivalent) required; college given preference. 3+ years experience in secretarial field. Real Estate, Transactional, and Corporate experience preferred. Experience with Power Point, Excel, Adobe; advanced knowledge of Microsoft Word. Knowledge of legal terminology and procedures. Excellent grammar and spelling skills. Excellent interpersonal skills with the ability to work well under the pressures of deadlines, prioritize and multi-task, and have the ability to move from one project to another. An aptitude to interface with lawyers, clients, and staff.
