Legal Secretary The candidate will perform a wide variety of administrative tasks, which includes providing a high level of customer service and support, while consistently producing an excellent work product. The candidate will be involved in creating, editing, formatting and proofreading documents, forms and presentations. Quickly respond to attorney requests via written, verbal or electronic communication. Successfully manage work and information requests, including document management, scheduling and coordination of Firm resources. Synchronize travel arrangements and prepare Fee Proposals for prospective clients. Open new matters and generate client conflict checks. Coordinate with Office Services for file management. Print and organize a variety of documents received in a range of formats, including emails, attachments and documents from CD ROM, and receives and prints faxes. Reply telephone and accurately takes and relays messages, manage multiple calendars, scheduling of meetings, conference calls and hearings including Court Call appearances, coordinating court reporters and audio-visual equipment as needed. Contact court clerks re local rules and prepare courtesy copies when needed. Organize hearing and exhibit binders for attorneys and legal documents for court filing, electronic filing and recording. Interact effective and courteously, in person, by telephone, and in writing with attorneys, supervisors, co-workers, and other business professionals. Mark tables of authorities and tables of content. Conduct all aspects of the job with an appropriate level of confidentiality and sensitivity to client and firm data. The candidate must have 3-5 years of experience in related field. High level of computer competency, in the complete Microsoft Office Suite is needed. Proficiency in Outlook, Word, Excel, and PowerPoint is crucial. TABS, Practice Master, Adobe, Form Builder and DropBox experience is helpful. Must be able to proactively communicate the status of work, cooperate and demonstrate flexibility when facing change. Be able to Utilize resources appropriately to complete work in the most efficient manner. Should be able to detect own mistake and takes corrective action as well as actively seek to maximize productivity and promote teamwork. Professional and pleasant demeanor is important. Must be comfortable in fast paced environment, detail oriented and be able to work with little supervision.
