Legal Secretary Responsibilities: Knowledge of, and ability to perform, a variety of administrative duties which include: preparing legal correspondence, court filings (including e-filing), docketing events and maintaining electronic calendars, maintaining electronic files in the firm's Case/Practice Management System, answering phones, scheduling legal appointments, greeting visitors and communication with attorneys, clients, court personnel and other firm employees. Learn, understand and fully utilize the firm's Case/Practice Management System (Prolaw) following the policies and procedures adopted by the firm. Communicate regularly with your team members and firm management. Maintain docketing of all events, including appearances and deadlines, pertaining to cases for assigned attorneys. Must be able to work with electronic documents efficiently, and, most importantly, work well with PDF files through Adobe Acrobat. This includes: extracting/deleting/replacing pages, bookmarking, splitting documents, converting documents to PDF, combining multiple files, commenting, highlighting, and redaction. This task also includes the ability to extract multiple documents to produce on CD, managing ZIP files, and working with PTX deposition transcriptions. Must be able to respond appropriately to stressful situations involving priorities, last minute deadlines and deal with unhappy people who may call or possibly appear in person at the office. Must be organized and capable of handling multiple complex tasks simultaneously, and to perform assignments with speed and accuracy, creating a professional work product. Includes the ability to plan events, set up and organize electronic files and maintain a comprehensive filing system utilizing the firm's case management system (currently Prolaw). Receive and organize incoming (paper or electronic) file material and save electronically into the firm's case management system in the appropriate format and organization structure. Receive daily incoming US Mail for your assigned attorney (unless handled by someone else) and scan each item into an electronic format and identify the appropriate client file and matter number for each piece of mail. Forward electronic copies of US mail received each day to the recipient and other team members handling the client file. Save electronic copies of US Mail received each day into the appropriate client file/matter in the firm's case management system. Receive, organize and file electronically all electronic correspondence received. Process Court filings (pleadings, discovery, etc.) electronically using the e-filing system of the respective courts in which the firm practices. Receive electronic notices of court filings and save same electronically into the firm's case management system. Assist with the client billing process, as established by the firm. Understand and apply the client guidelines applicable for payment of file expenses by the client and reimbursement of costs to the firm for the cases of the attorneys to which assigned. Regular in-office work attendance. Other duties deemed necessary by firm management. Qualifications: College Degree (or equivalent experience) with advanced technology skills. Ability to work in a paperless, high-tech environment utilizing multiple monitors; scanners; case/firm management software; Microsoft 2010 Suite; Acrobat X Pro and similar software. Must be capable of operating other office equipment, i.e., telephones, copiers, postage machines, printers, etc. Must be able to adapt to the firm's use of technology in your everyday work. Ability to organize and prioritize numerous tasks and complete them under time constraints. Must possess strong grammar, spelling, punctuation and formatting skills. Must be personable and professional with effective organizational and administrative capabilities. Must be a team player who has a can-do attitude, energetic and a strong work ethic, and an entrepreneurial spirit. Must possess excellent interpersonal communication skills; aptitude for planning and coordinating projects; ability to handle multiple and challenging responsibilities and to work independently. Ability to work under pressure in a deadline-oriented environment.
