Legal Secretary Duties: Under general supervision and according to established policies and procedures, provide support to the firm s attorneys and their clients; maintain positive contact with attorneys (both internal and external), support staff, clients and vendors. Observes confidentiality of clients and firm matters. Demonstrate flexibility and superb work ethic in enthusiastically taking on special projects in addition to primary office administration responsibilities; Provide comprehensive support for senior partner; prioritize and organize essential tasks and streamline operations to the appropriate personnel; Work as a team player, maintain an excellent rapport with service departments, and follow procedures and guidelines set by such departments; Meeting preparation developing agendas and presentations; scheduling meetings internally and externally for a calendar that is changed/updated daily; Coordinate with BD Manager to prepare and revise new business presentations; ability to structure and present strategic direction; Conduct research in support of assigned projects and strategic planning; solutions-oriented thinking; Organize and manage very busy Outlook calendar and extensive contact list; Prepare and supervise extensive billing; review spreadsheets related to billing and collections; interface with billing team to effectively manage and bring to completion; Assist with marketing functions such as pitch packets, bios, etc. Follow-up with Team to ensure completion of previously agreed action items; Prepare and work with confidential correspondence; Coordinate content for weekly Team meetings; Coordinate travel arrangements transportation and accommodations; Prepare and enter time entries on a daily basis; Answer busy phones; front office contact with clients; Prepare and submit expense reports; Communicate with clients, personnel and colleagues in a professional manner; Perform administrative functions such as preparing check requests for vendor statements, reconciing Partner s expenses, and other administrative tasks. Requirements: College degree or related experience required. 5+ years recent experience as an administrative assistant in the legal, banking, or consulting field. Ability to read and write English; excellent client service skills; excellent communication skills, both verbal and written; above-average typing and computer skills; detail oriented. Highly organized and detail oriented; Conversant working with numbers, financial statements, projections, proformas, RFPs, etc. Strong verbal and written communication skills; Knowledge of Powerpoint; Knowledge of Excel; Proactive, motivated, and driven; Professional, ethical team player; Strong interpersonal skills with the ability to work effectively with people at all levels; Ability to lead a team and to think proactively; This is a full time position with on-call flexibility necessary.
