Legal Secretary/Administrative Assistant The candidate will process physical mail and email. Forward to the appropriate persons/take the appropriate action required by established company processes. File all documents in a physical file and electronically. Ensure documents needing action are brought to the appropriate persons attention ensuring schedule deadlines are met bythe team. Maintain file folder system in SharePoint. Ensure document filing is completed using the established company process. Establish new client records. Close case records as directed. Process, tag, and file documents coming into the office and documents leaving the office. Ensure documents are tracked on the company schedule and other applications. Promptly ask for clarification when in doubt to ensure accuracy and avoid delay. Compile case documents for attorneys in preparation for legal actions. Work with attorneys to ensure court filing deadlines are met. Manage tracking schedule. Efficiently handles and tracks all projects assigned. Manage invoicing and collections communications. Manage accounts payable and vendor relations. Manage the company calendar. Order supplies. Maintain office tidiness. Prepare documents for mailing or delivery, including certified mailing, and collate tracking information and receipts of delivery. Exceptional organizational and time management skills. Is detail-oriented. Proficient proofreading skills are required. Courteous demeanor with all parties. Professional throughout all interactions are required. Able to work efficiently and with little direction particularly when using MS Office suite of apps are required. Able to plan own work meeting deadlines and expectations each day. Pro-actively asks for guidance when appropriate are required. Able to follow company policies both written and spoken. Able to report to work as scheduled, or perform work duties within the standards work hours of the business are required. Performs all work assigned are required. Must have 5 years legal secretary, 2 years additional administrative support responsibilities. Preferred education and experience: Associates Degree. IOLTA bookkeeping training. MS Office, MS SharePoint, MS Teams, Adobe Acrobat, T-Sheets ar
