Office Coordinator/Legal Secretary The candidate will be responsible for the day to day office administrative operations and providing administrative support to attorneys. In conjunction with and in support of the Firms Senior Management team, responsible for the daily operations of the office including staff attendance, scheduling and workflow, timekeeping, billing, emergency check creation, disaster recovery and other administrative responsibilities. Interact and coordinate with Human Resources regarding local needs relative to hiring, training, orientation, temporary staff, exit procedures, firm wide policies, staff meetings, health screenings and other human resources events, performance management and employment related compliance (EEOC, Affirmative Action). Develop and implement workflow measures to enable the regular evaluation of the quality and cost of services. Develop and communicate the office disaster recovery plan, and Firm wide policies and procedures. Maintain effective relationships with senior administrative staff in the Chicago office to contribute to and achieve the overall objectives of the Firm. Coordinate with Chicago office administrative staff on all large-scale projects. Coordinate with Facilities Manager on all office moves and onboarding/departure procedures for attorneys and staff. Coordinate with Ann Arbor office and Chicago office Records personnel related to requests for transfers of client files. Coordinate ongoing compliance with Firm-wide Records retention policies and procedures including reduction of hardcopy files maintained at offsite storage facility. Hire, train, orient, and evaluate all temporary and permanent administrative staff, excluding paralegals. Prepare the written annual performance reviews for administrative employees in the office. Track office expenditures for the purpose of assisting in the generation of the office annual operating and capital budgets. Reviews quarterly budget reports and provides explanations for overages/shortages to Coordinating Partner(s) and Human Resource Director. Oversee staff members performance through day-to-day interactions with attorneys and staff members. Conduct regular staff meetings including sharing information related to special client projects, office projects and Firm-wide initiatives. Serve as Member of A.C.T. Firm-Wide Committee and Member of Ann Arbor Office Team and coordinates participation by other Ann Arbor Team Members and personnel in the office events and annual fundraising efforts. Prepare goals and objectives for the Ann Arbor office non-legal personnel and hold members of the staff accountable for setting and accomplishing said goals. Assure compliance with contracts, agreements and special arrangements with vendors and consultants. Support Client needs and recommends approaches that will meet the Firms commitment to the most cost-effective and efficient level of client service. Oversee maintenance of client and general files (electronic and paper). Coordinate workflow for attorneys among all secretaries including overtime as may be needed. Maintain open communication throughout the office on the status and quality of all legal support work in progress. Prepare Firm standard letters, memoranda, briefs, pleadings, agreements, contracts and other legal documents. Utilize direct time and billing systems to submit attorney/paralegal time to Accounting. Process expenses utilizing Firm standard software. Perform other duties as assigned. The candidate should have an Undergraduate Degree and three-plus years administrative coordination experience, preferably in a legal environment. Must have strong knowledge of the operation of computer hardware and software systems in a network environment. Proven interpersonal, organizational, communication and management skills are essential.
