Legal Administrative Assistant/Legal Secretary Duties: Assists in preparation of legal documents, correspondence, memoranda, and briefs. Types, revises and proofreads legal documents accurately, prioritizes assignments, and meets specific deadlines on projects. Reviews and edits documents for accuracy and arranges for timely filing of documents. Prepares expense reports, check requests and reimbursement requests. Assembles, organizes and prepares documents for filing into our filing system. Coordinates client billing matters; assists with client billing process. Enters attorneys billable time. Coordinates schedules; arranges meetings and reserves conference rooms. Makes travel arrangements and prepares itineraries. Processes mail; reviews and routes incoming mail; prepares and processes outgoing mail, arranging for specialized mail or messenger services as required. Performs other duties as assigned. Qualifications: Must have High School Diploma/GED. 3 years previous legal experience required in order to effectively perform with minimal supervision. Proficiency with Microsoft Office programs and excellent computer, organizational, spelling, grammar, and time management skills. Typing speed 65+ WPM. Knowledge of litigation, regulatory, corporate, and/or transactional law preferred. Familiarity working with municipalities. Some electronic billing experience required. Knowledge of working with complex Excel spreadsheets required. Ability to learn proprietary software relating to the attorneys to whom assigned. Ability to work and manipulate PDF files and provide general support in litigation. Ability to proofread typed material for grammatical, typographical or spelling errors. Ability to communicate effectively, courteously and professionally with clients, visitors, staff and timekeepers. Ability to organize and prioritize numerous tasks and complete them under time constraints and work overtime, as necessary. Ability to work collaboratively in a team; proactively demonstrate teamwork and communication with team members and all Firm personnel. Interpersonal skills necessary in order to communicate effectively both orally and via email, and follow the instruction effectively from a diverse group of attorneys and staff and provide information with ordinary courtesy and tact.
