Legal Secretary Duties: Create and update PowerPoint presentations. Proofread and edit other documents, including speeches, books, articles and online material for appropriate formatting, spelling and grammar. Manage special projects for Partners and Corporate leadership. Serve as a resource to the Firm s leadership and Corporate department by attending and assisting with minutes of meeting.Input, revise and finalize correspondence, audit letters, memoranda and other legal documents. Draft routine correspondence, memoranda and other documents. Maintain good public relations with clients and other attorney contacts. Sort, date and read incoming mail. Prepare documents and packages for mail, messenger and overnight delivery. Complete client/matter forms. Request conflicts of interest checks and open new files. Maintain all client and general files. Conduct periodic review for possible storage of old files and prepare files to be closed.Verify all attachments, exhibits and enclosures are included with transmittal letters/memos. Prepare expense reports and process vendor invoices in Chrome River in a timely matter. Review monthly client billing performas for accuracy and completeness. Coordinate and follow through on requests and projects with other support departments (e.g., document solutions, receptionists, records department, office services). Schedule appointments and make arrangements for meetings, conferences and travel. Maintain attorney calendar and contact list. Enter attorney time, send time entry reminders and tracks entries. Receive clients and visitors. Other duties and projects as assigned. Requirements: Bachelor's degree is a plus. 5+ years of law firm or professional services secretarial experience required. A strong knowledge of MS Office including PowerPoint and great project management skills. Ability to be creative, proactive and multi-task in a fast-paced, deadline-driven environment. Effectively communicate verbally and in writing, as appropriate for the needs of the audience (clients, governmental agencies, internal and external resources). Demonstrate strong time management and organizational skills. Familiarity with Carpe Diem, Chrome River, LegalKey, document management systems or similar technology preferred.
