Immigration Legal Secretary The candidate will provide high-level and full-time in-office support to attorneys in the Immigration practice. Prepare/revise correspondence, immigration-related documents and other clerical assignments as delegated. Assist with the creation of PowerPoint presentations used for business development. Conduct Internet-based research to gather supporting documents for immigration applications. Upkeep client and various office files sometimes using case management software. Organize case documentation, evidence and exhibits for submission to USCIS and Courts. Maintain calendars and provide attorney billing invoice processing support. Prepare and submit all conflict checks and new client/matter intakes. Answer phones and communicate with clients on a daily basis. Perform other administrative and secretarial duties as assigned. Manage office contacts for mailings. Organize and coordinate travel arrangements for assigned attorneys. Accurately enter, review and revise timekeeper timesheets including consistent identification of litigation codes, when applicable. Prepare attorney reimbursements in Concur. Review and ensure accuracy of vendor invoices; prepare accurate check requests and timely submit invoices for payment to client or accounting. Participate in the timely review and submission of pre-bills and/or client bills. Provide backup to team members and perform other duties as assigned. Maintain an exceptional client service attitude and professional demeanor at all times. Show initiative, flexibility, resiliency and a willingness to adapt to change. Take ownership and meets deadlines in a timely manner. Maintain a positive, can-do attitude when dealing with clients, co-workers and attorneys. Contribute to an atmosphere of teamwork and congeniality. The candidate should preferably have 2 years of working experience as an immigration secretary in a fast-paced business immigration environment. Should have proficiency in Word, Outlook, LawLogix or INS Zoom and a document management system, outstanding case management, organizational and multi-tasking skills are necessary. Should possess strong business writing skills, and will value attention to detail.
