The San Francisco office of this mid-size firm is engaged primarily in litigation and general business, although the firm boasts a solid regulatory and administrative law practice and a respectable labor/employment practice. The firm has a strong pro bono commitment; associates receive full billable hour credit for approved pro bono work and, overall, pro bono comprises 3-5% of all work. The billable hour target is 1850 and salaries are approximately 20% below market.
Practice Assistant (Legal Secretary) Duties: Create and edit documents in Word, Excel, and other applications from handwritten copy, typed copy and dictation. Administer multiple calendars, coordinate meetings and events, prepare expense reimbursements and oversee travel arrangements. Prepare correspondence as directed by attorneys. Ensure proper setup and handling of client files. Manage client intake process, timekeeping and billing. Strong commitment to individual assignments as well as to the secretarial team. Other duties as assigned. Qualifications: Associate degree required; Bachelor degree preferred. 5 years of relevant litigation experience as legal secretary, transactional experience a plus. Knows how to navigate the firm and effectively utilizes its resources. Strong client service skills; ascertains and adheres to client preferences. Highly organized, able to evaluate and prioritize numerous tasks and complete them under time constraints. Excellent interpersonal, communication, and collaboration skills. Advanced proficiency in Microsoft Office Suite. Thorough knowledge of office technology and equipment. Positive and professional demeanor; able to interact effectively with personnel at all levels, including attorneys, staff, and clients. Knowledgeably analyzes and solves problems in standardized situations.
