Legal Secretary/Real Estate The candidate will perform a variety of administrative support to attorneys practicing in the commercial real estate practice area. Prepare, process, and proofread legal documents; File and arrange for service of pleadings; Mail, fax, copy, and/or arrange for delivery of documents to clients, witnesses, opposing counsel and court officials; Calendar deadlines. Maintain supervisor(s) calendar electronically and/or manually by scheduling appointments and critical dates and keeping supervisor posted of same. Open and close files, and maintain client and business files by filing and retrieving materials as required. Communicate with buyers, sellers, realtors, brokers, lenders, appraisers, surveyors, insurance companies, title abstract and title insurance companies, taxing authorities, homeowners associations, attorneys, court personnel, payoff departments and various other individuals and entities in connection with obtaining all necessary information for commercial real estate transactions. Scheduling and coordinating purchase, sale and/or loan closings and reviewing of closing packets received from lenders; preparation of closing documents, including closing statements, affidavits, tax information statements, payoff letters, representation letters, and disbursement sheets; participation in closings; arranging for deposits of loan proceeds and disbursing all funds; filing of deeds, deeds of trust and UCCs with appropriate authorities; requesting title updates; receiving title updates and issuing title policies, and generally assisting closing attorney with all aspects of transactions, including gathering of preliminary information, ascertaining that closing is conducted in compliance with lenders instructions, and compilation of closing documents upon completion. Occasional research of land records. Completion of 1099 Information Sheets and submission to reporting service. Drafting real estate related court documents, such as notices of foreclosure, lien notices, authorities to cancel. Preparation of commercial settlement statements using SoftPro Select. Handling trust accounts and other financial aspects of the practice. Assist with receiving purchase and sale agreements from clients and ordering abstracts, title reports and or certificates of title from abstractor or abstract companies; receiving and reviewing title reports, surveys, and drafting commitments and final policies for title insurance for purchasers and/or lenders. Handling all post-closing responsibilities after real estate closings and/or bond closings, including issuance of final title insurance policies and reconciliation with title insurance companies. Entering attorney billable time in billing system, reviewing the bills, and working with the Accounting department to process the billing. Processing of vendor invoices. Scheduling travel arrangements. Calendaring dates, preparing correspondence and filing. Opening new business matters in firms system. Perform related duties as assigned. The candidate should have a Bachelor's degree. 5+ years of law firm experience/legal secretary/real estate is desired. Must be competent in the use of computers and Microsoft Office Word, Excel, PowerPoint and Microsoft Outlook. Should be capable of performing a variety of clerical and administrative duties using various computer programs. Ability to type 65 wpm with excellent knowledge of legal terminology is a plus. Must have strong verbal and writing skills.
