Probate and Real Estate Paralegal The candidate will probate proceedings and transactional real estate closings, as well as other general office/clerical work. Must be reliable, responsible, professional and able to multitask while paying close attention to detail and deadlines. Must be proficient in drafting/preparing documents and pleadings, filing legal documents and setting probate hearings, speaking with clients, scheduling appointments, answering multi-line telephones, directing messages to the appropriate party, and other tasks as assigned. Must be technically proficient/computer literate and have experience with multiple software programs including Word and Outlook. Doubletime and Actionstep experience helpful. Candidate will also assist and provide a range of administrative support to attorneys and must be comfortable working in a legal environment. Duties include general administrative assistance including answering phones, scanning and copying, drafting and mailing correspondence, building and maintaining client files, greeting clients, calendaring meetings and appointments, and others as needed. Strong customer service skills required and must speak professionally and courteously with clients. Experience with probate administration, Experience with real estate closings. Experience with pre- and post- closing responsibilities. Able to operate closing software and applications, skilled in client management and relationships. proficient in general clerical duties, including (but not limited to) answering multi-line phones, scanning & copying, drafting & mailing correspondence, building & maintaining client files, greeting clients, calendaring appointments. Experience with drafting, scanning, and electronically filing probate related documents, as well as using County Clerk websites to submit documents and schedule hearings. Familiarity with Microsoft Word, Microsoft Excel, Outlook, Actionstep, Adobe, etc. Assistance with residential real estate transactions, including but not limited to working with attorneys, buyers, lenders, and realtors. Must have a thorough understanding of running and reviewing/analyzing title. Draft and prepare closing documents; organize and attend closings Experience will include residential real estate closings, preparation of pre-closing and post-closing packages, including but not limited to settlement statement, closing disclosure. Previous experience handling real estate closings transactions from start to finish, and knowledge of DoubleTime real estate software. Organize conferences/closings and provide coordination assistance to parties involved. Draft, scan and electronically file legal documents for probate administrations. Create and maintain client relationships with spouses and relatives involved in the probate process. Perform office duties, including answering multi-line phones, directing telephone calls or messages to appropriate staff, and assisting clients with requests and inquiries. Ensure that inactive/closed cases are filed accordingly, and all current files are managed properly. Prepare, process, and transmit legal billing to partner law firm on a bi-weekly basis and to clients as needed. Review documents for consistency, format, facts.
