Legal Secretary The candidate will prepare, edit, and format documents and pleadings in accordance with the Firm's standards and styles using Microsoft Word and other programs in the Microsoft Office Suite. Will prepare and send correspondence and e-mails, using individual initiative and as requested by attorney. Maintain calendars for each assigned attorney, making certain that appointments, travel, and case deadlines are correctly and timely calendared. Schedule conference calls, telephonic court appearances, and meetings on behalf of attorneys, both internally and outside the office. Prepare attorneys for hearings, conferences, depositions, and mediations through direct communication with the attorney and other departments within the firm to prepare litigation binders, e-binders, travel documents, and other necessary documents. Ensure that the attorneys' billable hours are entered in the firm's timekeeping system correctly and in a timely manner. Arrange and coordinate travel, and prepare expense reimbursements for assigned attorneys. Act as liaison between attorneys and other departments within the firm and serve as a resource for attorneys with respect to firm policies, procedures, and facilities. Perform general clerical duties including, but not limited to, filing, scanning, photocopying, and mailing. Demonstrate a high level of professionalism in dealing with confidential and sensitive issues. Provide backup support for other legal secretaries as needed. Provide backup support for administrative support requests. Cover reception area once or twice a week. Assist attorneys with office organization to maximize individual attorney productivity, maintain case lists. Perform other duties as assigned by department manager or supervising attorney. The candidate must have proven working experience in civil litigation as a legal secretary. Possess thorough knowledge of legal procedures, legal documents, and complex legal terminology. Must have the capability to handle highly confidential and sensitive information. Must have excellent verbal and written communication skills and ability to communicate effectively. Must have excellent grammatical and spelling skills. Must have proficient with Microsoft Office programs (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat. Knowledge of using styles and tables of contents in Microsoft Word is required. Type a minimum of 60 words per minute with high accuracy is required. Working knowledge of legal timekeeping and document management programs is required. Basic knowledge of legal citations and working knowledge of Westlaw for legal research is required. Associate degree required; Bachelor's degree preferred. 3 years legal secretarial experience in civil litigation required
